Clerk V, Office of Financial Aid
Department Summary: The Financial Aid Office assists students and their families in accessing the funds needed to afford a BSU education. We administer federal, state and institutional financial aid programs, and maintain compliance with regulatory guidelines. Our services include assisting students through the application process, and providing timely award notifications so students can make informed decisions about the affordability of a BSU education on a yearly basis. Our office provides a service-oriented, confidential environment where students and their families can seek the advice of an informed staff who provide assistance in obtaining the best financial aid opportunities available.
Position Summary: This position is one of a team of four (4) clerk positions that rotates duties on a weekly basis. The team members are cross trained and work very closely together to ensure accurate dissemination of information to students and parents. In this fast-paced, team oriented environment communication and team work is vital in this area as this team of individuals perform the front line customer service function for the department. Tour of Duty: 8:45 am to 5:00 pm, Monday through Friday (Saturday and Sunday as days off)* *Subject to change. This is an AFSCME unit position and is subject to the terms of that union agreement.
Essential Duties: 1. Provide quality customer service in response to all inquiries: in-person counter assistance, phone, email or fax. 2. Sort and distribute incoming mail and faxes to the appropriate department member. 3. Assist with loan processing; tracking receipt of Scholarships and other forms pertaining to the financial aid process. 4. Mailing award letters and tracking letters to students. 5. Review of information for accuracy and completeness. 6. Document scanning and imaging/BDMS 7. Data entry 8. Consistently meet informational deadlines. 9. Assist with monitoring and sorting of office supplies 10. Assist team members at other stations as needed. 11. Misc. projects as assigned by supervisor.
Required Qualifications: Required Minimum Qualifications: 1. Must have 2 years full-time or equivalent part-time, experience in office work, or any equivalent combination of the required experience and substitutions as listed in the MA State Job Specifications; 2. Ability to follow written and oral instructions. 3. Ability to communicate effectively in oral and written expression. 4. Ability to maintain accurate records and file material in accordance with established standard procedures. 5. Ability to explain the laws, rules, policies and procedures governing assigned unit activities. 6. Ability to assemble items of information in accordance with established procedures. 7. Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies and business letter preparation. 8. Ability to coordinate the efforts of others in accomplishing assigned work objectives 9. Ability to deal tactfully with others 10. Ability to establish and maintain harmonious relationships with others with diverse backgrounds and experiences. Salary Range: $1,608.86 bi-weekly (Grade 15, Step 1)
