The Hoover Institution Library & Archives at Stanford University are seeking a knowledgeable, dynamic, innovative, and service oriented professional for the position of Assistant Archivist for Public Services. The appointment is for an initial two-year limited term, with the possibility of renewal. This is a career track position.

JOB PURPOSE:
The Assistant Archivist for Public Services is responsible for providing access to the holdings of the Hoover Institution Archives by managing the archives reading room and overseeing all reference related operations.
CORE DUTIES*:
  • Manage reference operations, develop reference procedures, and maintain reading room rules and security.
  • Introduce a wide variety of individuals and groups to the archival collections and services.
  • Provide research assistance on-site and remotely and instruction on proper handling of archival materials.
  • Supervise front desk staff and registration operations.
  • Assist with oversight of circulation operations, including training of staff and students for reading room related tasks such as staffing the reading room desk and paging materials.
  • Oversee duplication orders, permissions to publish, and copyright issues.
  • Help to build and increase access to the archival collections.
  • Describe and promote the archival collections through blog posts, online research guides, and other platforms.
  • Coordinate the research assistance program, including the recruiting and training of research assistants.
  • Collect and maintain statistics, reports, and other metrics on various aspects of departmental operations and services.
  • Engage in the process, through demonstrated knowledge of the underlying architecture, of implementing new technologies and standards.
  • Collaborate with the Hoover Librarian to coordinate reference related services.
  • Collaborate with other departmental units to prioritize and promote description, preservation, exhibition, digitization, and collection development activities.
  • Collaborate with Hoover curators, the Assistant Archivist for Outreach and Communication, and Stanford and other faculty to organize course-specific classes for undergraduate and graduate students on the use of primary sources and techniques of archival research.
  • Conduct tours of the archives and presentations of archival materials for Hoover and Stanford staff, potential donors, and a variety of visitors.
  • Liaise with other Hoover and Stanford departments and faculty to promote the use of the collection, assist with conference and exhibition preparation, and participate in a variety of outreach events.
  • Contribute to institutional initiatives and projects.
* Other duties may also be assigned. MINIMUM REQUIREMENTS:
Education and Experience:
Advanced Degree in Library Science or a relevant academic discipline with an archival concentration, and two or more years of work experience in a large manuscript or archival repository or a combination of education and relevant experience.
Knowledge, Skills, and Abilities:
  • Established understanding of the principles of archival theory, practice, standards, and proper handling of materials.
  • Advanced subject knowledge of twentieth and twenty-first century world history.
  • Demonstrated ability to work collegially as a team member, as well as independently.
  • Considerable judgment, discretion, and initiative.
  • Superb written, verbal, and interpersonal communication skills.
  • Experience in training and directing the work of staff and students in public services.
  • Commitment to planning, implementing, and assessing user-centered services.
  • Ability to analyze, learn, and implement evolving technologies.
  • Strong foundation in intellectual property issues related to archives and special collections.
  • Commitment to archival public service, including a keen interest in promoting the use and appreciation of archival materials.
  • Competence in at least one foreign language (Russian, German, French, Spanish, Polish, Chinese) desired.
PHYSICAL REQUIREMENTS*:
  • Sit a great deal of the time; perform desk-based computer tasks.
  • Frequently twist/bend/stoop/squat, grasps lightly/fine manipulation, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 15 pounds.
  • Occasionally stand/walk, reach/work above shoulders, writing by hand, kneel/crawl, climb (ladders, scaffolds, or other).
  • Occasionally use a telephone, operate hand controls.
  • Must be able to push and maneuver a fully loaded cart weighing up to 650 pounds that requires an initial push force up to 50 pounds.
