The University of Mary invites applications for a full-time, non-exempt Assistant Director of Community Relations.  This position coordinates events for the University of Mary through the Office of Public Affairs. It serves as the central point of contact for scheduling all events, manages the clerical aspects that involve contracts and billing, serves as an event host to those greeted in the Harold Schafer Leadership Center and other campus venues, and assists with requests from the Office of the President, Public Affairs, Academic Affairs, Athletics, Student Development, Financial Affairs and Enrollment Services.

Essential Roles and Responsibilities Include:

  • Coordinates all main campus events scheduling and maintains a master university calendar
  • Assists with all scheduling, planning, and coordinating of activities for annual university events
  • Makes decisions for facility usage by employing independent judgment
  • Manages event management database used to reserve all spaces and resources necessary for events taking place on the University of Mary’s main campus
  • Serves as the point of contact and facilitator for internal groups who wish to host meetings, conferences, or camps at all University of Mary locations
  • Monitors all assignments of university facilities for incoming events and assists in the implementation and execution of all event components
  • Arranges and facilitates meetings with key partners to coordinate hospitality activities
  • Assists in the preparation of details and hosting of external clients
  • Acts as a liaison for the client and/or building user to ensure successful execution of program and/or event
  • Upholds and promotes the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the Office of Student Development and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Qualifications Include:

  • Bachelor’s degree in business, communication, hospitality management, or a related field
  • Interest in pursuing additional skills and professional development as recommended by the Director of Community Relations required
  • Previous experience in the hospitality industry is preferred

Knowledge and Skills Include:

  • Exceptionally strong communication, organizational, and management skills to handle large number of details with multiple projects under firm schedules and deadlines
  • Ability to train and advise others effectively on procedures and practices
  • Outstanding interpersonal skills to establish and maintain relationships with clients, donors, university staff, faculty, vendors, and other professional colleagues
  • Demonstrates a high level of confidence and comfort in making sound business decisions and demonstrates innovative and creative problem-solving skills as necessary
  • Understands and articulates campus policies and monitors compliance when serving external clients
  • Is able to accommodate the high demands resulting from client requests and conference coordination requirements
  • Contributes to the professional tone of the University of Mary in dress and demeanor
  • Ability to compose correspondence without instruction or review
  • Must be adept in the use of MS Office 2010 or later, particularly Excel and Word. Must be comfortable using or learning to use multimedia technologies
  • Is able to work flexible and/or extended hours when required
