Responsibilities:

The team in the Cooperative Education Program for the College of Engineering is seeking an Academic Assistant to support the Co-op Administrative Coordinator with the program's operations to include event planning, scheduling, data management and other administrative functions: The detailed responsibilities include:

  • Assist with event planning details and logistics
  • Create flyers for events and maintain bulletin boards/wall graphic displays
  • Set up computers and projectors for events, and video conference meetings
  • Maintain team master calendars
  • Schedule conference rooms, interview rooms, and class rooms
  • Develop communication materials for students and employers, including surveys and Google forms; update/manage content on co-op websites and LinkedIn groups
  • Scan/copy materials for courses and meetings
  • Provide general administrative help and take meeting minutes
  • Serve as point of contact in Holmes Hall reception area to greet students and employers
  • Maintain and update reception room monitor with current information/content
  • Troubleshoot IT systems such as Outlook, Excel, file management, etc.
  • Organize student and employer survey data
  • Enter work orders/coordinate with facilities
  • Support logistical on boarding efforts for new Co-op Coordinators/staff - computer access forms, office set up, telephone, supplies, addition to all appropriate mailing lists, keys
  • Assist with course scheduling - updating instructor, major restrictions, and course caps
  • Maintain spreadsheet data, compile and analyze information

    Qualifications:

    The ideal candidate will possess a positive and professional communication style with strong interpersonal and communication skills, both verbal and written; must be detailed oriented with the ability to multi-task in a fast-paced office with changing priorities along with being observant and proactive with problem solving.

    A Bachelor’s degree and 2-3 years’ work experience preferred; Associate’s degree and minimum 2 years’ work experience is required.
