Unit Job Summary: Program Manager: Manage all PhD Program general office operations. Answer student and applicant inquiries about the PhD Program by phone, email and in person. Communicate policies and procedures to students. Manage applicant, student and alumni data, records and reports. PRINCIPAL DUTIES AND RESPONSIBILITIES: - Plan and organize events and programs, including orientation and admit visit. - Counsel prospective applicants about the PhD Program by email, phone and in person. - Update and maintain student and alumni data for databases, systems, reviews and reports. Create reports. - Process, update and maintain admission records, run reports, prepare and distribute admission files. - Update internal and external websites. - Manage student course registrations using both Booth and the University's registration systems. Collaborate with colleagues in the Booth Registrar's office and the University's Registrar's Office to resolve registration problems. - Schedule and organize PhD general exams, and dissertation proposals and defenses and maintain database of faculty participation on student proposals, defenses and exams. - Understand and interpret PhD Program and University policies and deadlines. Ensure completion of quarterly academic activities and annual papers. Help students resolve problems and refer them to campus resources as appropriate. - Oversee PhD office, student computer lab and student study rooms at Harper Center and McGiffert House, including computer and office equipment maintenance. Serve as liaison to Computing Services and Facilities to solve equipment and facilities problems. - Manage student and area listservs. Access confidential information in central and local systems.

Unit Education: Bachelor's degree required.

Unit Experience: A minimum one year of administrative support experience in an office environment required. Student services and database experience preferred.

Unit Job Function Competencies: Computer expertise including Microsoft Word and Excel required. Excellent verbal and written communication skills required. Excellent interpersonal and customer service skills required. Ability to deal calmly and diplomatically with students and faculty in stressful, demanding situations required. Outstanding organizational skills, including multi-tasking, attention to detail and prioritizing required. Ability to meet deadlines consistently required. Proven ability to use discretion and independent judgment required. Ability to maintain strict confidentiality required. Prolonged use of computer and intensive keyboard use required.
