Department Overview
The Orientation and Transition Programs office at the University of North Texas is seeking to hire an Administrative Coordinator I to join our team. The office of Orientation and Transition Programs is a department within the Division of Student Affairs and provides new students, continuing students, and family members with the tools necessary to make a smooth transition to UNT and toward graduation. Specifically, the position will provide administrative support to an office that serves more than 10,000 new students and family members annually.

Job Description
The Orientation and Transition Programs office at the University of North Texas is seeking to hire an Administrative Coordinator I to join our team.Responsibilities of the position include, but are not limited to:
* Providing administrative support to a fast-paced department, by way of budget tracking and reporting, purchasing, travel coordination, correspondence, data compilation, reporting, scheduling, and property control.
* Assists with the administrative functions related to new student orientation and supports all programs and initiatives originating from the office ensuring students and family members are provided a positive experience at the university.
* Resolve most questions; referring only the most complex issues to higher levels.
* Reports to the Director of Orientation and Transition Programs.
* Manages clerical operations of the department, and supports seven full-time staff and four graduate assistants.
* Provides backup to the front desk staff when necessary by answering incoming phone calls, emails, and greeting visitors to the department.
* Responsible for the processing of all orientation reservations and confirmations for over 10,000 new students each year.
* Responsible for the upkeep of multiple orientation databases including the tracking of student admission information, mail and email communications, and payment processes.
* Analyzes and makes recommendations for office operational needs, including equipment, workflow and materials.
* Responsible for the accurate maintenance of budgets and fiscal matters for multiple state, local, and revenue accounts.
* Prepares budget reports monthly and as requested.
* Coordinates student employee work schedules and assists with their supervision and training.
* Oversees human resources processes and procedures (including payroll, new hire onboarding, and timekeeping) for the department.
* Provides interpretations of policies and procedures related to travel, employment, and purchasing for departmental staff.
* Oversees departmental inventory of supplies and equipment and completes annual asset report.
* Maintains up-to-date communication for the Freshman Orientation email account.
* Creates department reports as requested by the Director.

Minimum Qualifications
The successful candidate will possess an Associate's Degree and three years of office administration experience; or any equivalent combination of experience, education, and training.

The preferred candidate will possess the following additional qualifications:

* Previous experience at an institution of higher education.
* Ability to be flexible, calm, and multitask in a fast-paced office environment.
* Marked ability to communicate effectively orally and in writing with students, faculty, and staff.
* Ability to tactfully handle customer service situations.
* Excellent organizational and supervisory skills.
* Knowledge of safety and security precautions appropriate to work performed.
* Ability to work effectively with diverse populations.
