Administrative Support III - Aviation Online Education

Position Category: Staff - Full-Time

Come join our Aviation team as an Administrative Support at Utah Valley University! In this role you will perform and/or oversee a variety of associated administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget administration and facilities scheduling, inventory control, specialized recordkeeping, and/or specified information-gathering projects and tasks. Coordinate and facilitates meetings, program functions, and/or special events, as appropriate. Train and oversees lower graded staff and/or students as the Office Manager in the Dispatch area. Process work orders, EPAF's and Payroll for P/T Employees, Oversee and responsible party for CATS proctored testing service. Responsible for meeting minutes and supporting aircraft scheduling to include training and service support as needed. Position will also include other duties as assigned.

Required Qualifications:
Graduation from an accredited institution with a bachelor’s related to the Summary of Duties or any combination of education and/or experience totaling four years.

Knowledge, Skills and Abilities:
  • Knowledge of office methods, techniques, practices & procedures.
  • Knowledge of applicable training methods.
  • Knowledge of data management strategies and reporting best practices.
  • Knowledge of office related financial management and requisition procedures.
  • Knowledge of Microsoft Office.
  • Knowledge of Federal Aviation Administration Regulations.
  • Knowledge of supervisory procedures and techniques.
    Interpersonal and problem-solving skills.
  • Skills in records management.
  • Skills in setting up Intro Flight and facility tour appointments.
  • Skills in the use of computers and computer software applications, including word processing, Excel, spreadsheets, e-mail (OUTLOOK), with an ability to work with AIMS Flight Program, CATS Proctored testing program, Banner, and databases.
  • Ability to perform a variety of administrative support duties with minimal supervision.
  • Ability to follow verbal and written procedures and instructions.
  • Ability to communicate effectively, verbally and in writing in person and via written communication and over the telephone.
  • Ability to meet and work with all people to include individuals with diverse backgrounds.
  • Ability to supervise staff performing critical Flight Center Dispatch functions.
  • Ability to enforce Flight Center policies and Flight Schedule adherence.
  • Ability to coordinate and assist in the preparation and monitoring of Operations Dispatch/Info Center’s financial transactions.
  • Ability to work independently on a multi-task level, prioritize and follow projects through to successful completion.
  • Ability to process P/T payroll, work orders and EPAF’s.

Preferred Qualifications:

Physical Requirements:
Must be able to sit continuously, see, hear and talk on a regular basis. Fine hand manipulation for computer work.

Pay Range: $25,665 - $32,082
