LDC BUSINESS OFFICE COORDINATOR
Duties: LDC Business Office Coordinator will provide Linguistic Data Consortium (LDC) with administrative and financial support to insure efficient and timely daily operations. This position will coordinate, monitor and process all transactions related to LDC Business office activities including hiring hourly-paid staff and processing weekly payroll; purchasing and accounts payable (purchase orders, procard transactions, travel arrangements and reimbursements, IDS forms, journal entries, UPS charges, etc.); track and reconcile deliveries and vendor-related issues. Act as liaison and track interactions with LDC landlord and SAS physical plant officials: act as main contact for all physical plant issue, as well as telecom, furniture, and security access to the suite. Maintain account transaction files and coordinate monthly reconciliation process and reporting. Manage conference room schedule and plan LDC-wide events and meetings. Manage petty-cash. Compile and update LDC and Business Office Policy manual; interpret policies to LDC staff. Provide direct support to the Business Administrator and Grants Coordinator. Update current lists, files, and other documentation. Maintain office/kitchen supplies inventory and office equipment. Supervise work-study students and manage front office staffing. Provide cross-coverage for the Business Office activities as needed. Manage other short and long term projects as assigned.
Qualifications: A high school diploma and 5 years of experience, or equivalent combination of education and experience, is required. BA/BS preferred. 3-5 years experience in a university business office environment is preferred; experience with Penn financial systems (BEN, UMIS, CONCUR, oracle-based applications) as well as intermediate skills in Microsoft office are preferred. Familiarity with grants and contracts rules and regulations preferred. Excellent interpersonal communication and time management skills are required. Successful candidate must be highly motivated, goal oriented, attentive to detail and have a strong work ethic. Strong project-management skills and proven ability to prioritize, set and meet deadlines are required. Ability to work with a diverse set of staff in a very fast-paced environment and the ability to handle confidential information are required.
