The Senior Assistant Director for Customer Service and Outreach will lead and coordinate outreach efforts and training for staff to ensure uniform and effective dissemination of information. Responsibilities will include overseeing the development, management and administrative direction of the processes inclusive of communication, debt management, community outreach as well as federal, state and institutional policy review and interpretation.
The incumbent in this position is responsible for the management, direction and coordination of the daily operations as well as assisting in articulating a long term vision for the Customer Service and Outreach section which provides counseling to students, parents and the general public on the financial aid via workshops, phones calls, personal walk-ins and e-mail communications as well as the evaluation, data analysis/verification of data processing and imaging of student records. Responsible for verifying systematic and manual awarding of aid to students, working to ensure accurate and timely dissemination of financial aid. Responsible for the supervision and evaluation of all direct reports.
Responsible for oversight of community outreach, recruitment and financial literacy initiatives that focus on promoting public awareness of financial aid programs with additional emphasis on increasing the number of low income, first generation students. This position works with the Office of Financial Aid team and partners across Florida State University stakeholders (e.g., Admissions, CARE, Orientation, Registrar, Graduate Program Schools, Student Affairs administration, faculty and other administrators) as well as High School Partners located in and around Tallahassee (Jacksonville, Jefferson and Gadsden counties at this time) and regional civic groups to lead assessment projects related to the needs to ensure recruitment and retention of this key group of students. Develops presentations for state and regional organizations using a variety of media tools, enhances procedures and along with enrollment team analyzes the impact of outreach efforts on recruitment and retention of a diverse student population.
Develop and coordinate financial aid training programs to ensure that the mission of the office and university is achieved and processes continually enhanced in all aspects of our operations. The incumbent acts as advisor to the Senior Associate Director, Associate Director(s) and/or the Assistant Vice President in all Customer Services capacities. Monitors information dissemination and system data to verify accurate and efficient processing of aid per federal, state and institutional criteria. Develops procedures improve the quality of service as well as establish training. Leads communication campaigns to ensure timely and accurate disbursement of financial aid funds.
Responsible for interpreting student financial aid rules and policies as well as apprising students, parents, university and other entities on the overall financial aid processes, eligibility determination and awarding. Responsible for verifying systematic and manual awarding of aid to students, working to ensure accurate and timely dissemination of financial aid. Researching problems for section programs and presenting findings to ensure compliance with state, federal and institutional regulations. Serves as a member of the department senior management team.
Bachelor's degree and four years of experience related to the duties of the position; or a high school diploma/equivalency and eight years of experience related to the duties of this position. or (Note: a combination of post high school education and experience equal to eight years.)
Experience using Microsoft Word, Excel, and Outlook or equivalent software.
Excellent verbal and written communication skills.
Experience with student advising and counseling.
Experience in the principles of management.
Ability to apply the principles and practices of strategic planning and development and evaluation.
Experience working with financial and detailed information.
Knowledge of the principles and practices of student program planning, development and evaluation.
Ability to train and supervise employees.
Ability to develop and implement policies, procedures, goals, and objectives.
Ability to counsel students on financial aid and university matters and apply federal, state, and university rules, regulations, policies, and procedures.
Knowledge of financial aid program regulations and policies. Ability to perform accurately in a detail oriented environment.
This is an A&P (Administrative and Professional) position.
Soft Money Funded Position
This position is time-limited based on soft money funding, with renewal contingent upon available funds and the needs of the University.
