Guest Services Oglesby Union Student Affairs
Receive requests from, communicate with, and reserve space for non-university groups, businesses, vendors, and individuals desiring to use campus facilities for meetings and other events. Plan and coordinate meeting/event needs with clients. Facilitate effective communication of the same to all involved parties, including facility managers and other staff.
Coordinate the Market Wednesday and Vendor Thursday programs at the Oglesby Union. Evaluate and enforce vendor participation eligibility. Actively promote and market vendor opportunities to the local community to attract a variety of vendors and products for sale.
Maintain a current knowledge of, and clearly communicate University rules, policies, and procedures to non-university clients as applicable to their needs. Ensure all required paperwork, including, but not limited to, facilities-use agreements and certificates of insurance, are issued, received, and processed in a timely manner. Issue invoices for fees due and follow-up with clients to ensure timely payment. Keep accurate records and effectively utilize event management software. Follow University approved cash handling procedures and deposit monies collected as prescribed by policy.
Manage lost and found operations for the FSU campus as administered by Oglesby Union Guest Services. Ensure items are properly received, stored, and disposed of according to policy. Maintain software used to catalog lost and found items and actively work to reunite owners with lost items.
Coordinate efforts with other Guest Services staff members and participate in all assigned meetings and committees. Assist with the development of departmental goals and strategic initiatives to enhance customer experiences. Perform other duties as assigned.
High school diploma or equivalency six years of experience.
(Note: or a combination of post high school education and experience equal to six.)
Experience and the ability to demonstrate effective customer service skills.
Experience with event planning and/or event management in a hotel, convention center, or other public assembly facility setting
Must be able to clearly and effectively communicate, both verbally and in writing
Ability to prioritize, organize, and perform multiple work assignments.
Must be able to work both independently and as part of a team
Must have experience with the collection of payments in the form of cash, checks, and credit cards
Must be willing to work evenings and weekends as required to support events * Resume and Cover Letter Required *
Experience with contract management and in gathering documentation
Experience working with vendors in a flea market or similar setting
Skilled in conflict resolution and problem solving
Technical skills, including the ability to troubleshoot audio-visual support for events
This is an USPS (University Support Personnel System) position.
