Office of Science Teaching Activities (OSTA)
This position is responsible for administrative duties for the Office of Science Teaching Activities (OSTA). The position includes budget tracking, personnel, purchasing, travel, and coordination of outreach programs.
Assists the OSTA Director with daily operations of the office and a variety of departmental administrative and office support functions. Administrative functions include faculty and staff personnel transactions, planning and preparation of program events, maintaining schedules, answering and screening phone calls, and purchasing. Serves as the first point of contact for all visitors, students, faculty and staff for OSTA. Supervises office OPS employees.
Coordinates recruitment and registration activities for outreach programs (Teacher Workshops, Saturday-at-the-Sea, Young Scholars Program, etc.) for OSTA. Schedules venues as needed. Maintains participant databases for all OSTA programs. Oversees background check process for faculty, staff, and students involved in outreach programs.
Serves as purchasing and travel representative for OSTA. Reviews, enters, receives, distributes and follows up on all requisitions. Verifies sufficient allocations for purchases. Serves as OSTA representative with purchasing on all matters. Responsible for all travel arrangements for OSTA personnel. Enters all travel authorization requests and expenditures following travel.
Monitors OSTA E&G, Foundation and grant budgets, to include all financial transactions. Monitors University matching funds as required by granting agencies on OSTA grants. Compiles data on projects completed by OSTA.
High School diploma or equivalency and three years experience or a combination of post high school education and experience equal to three years.
Experience with daily office operations and a variety of administrative and office support functions.
Customer service experience.
Experience managing and supervising employees.
Experience coordinating and planning events.
Experience with purchasing and travel.
Experience compiling and reviewing data.
Preference will be given to applicants experienced with the University OMNI system.
This is a temporary position with an anticipated end date of January 12, 2018.
Anticipated Salary Range
Anticipate hiring in the upper 20's.
This is an USPS (University Support Personnel System) position.
Criminal Background Check
This position requires successful completion of a criminal history background check.
