Job Purpose The Financial Aid Office (FAO) seeks an Administrative Associate who will provide routine administrative or operational support working from detailed instructions from the Associate Dean/Director of Financial Aid and three senior managers.


Core Duties*
  • Greet visitors and route them to appropriate individuals, answer routine phone calls and email, and serve as a resource on FAO procedures and general inquiries, determine and take appropriate action as required.
  • Disseminate routine communications such as memos, notices, emails, and letters.
  • Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of office supplies.
  • Review invoices for accuracy, and initiate purchase requisitions.
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts.
  • Arrange meetings and assist with routine events including scheduling rooms, managing equipment, ordering meals and assembling materials.
  • Process and monitor routine financial transactions which may include researching and resolving discrepancies.
  • Create and maintain files and filing systems.
*Other duties may also be assigned.


Minimum Education and Experience Required

High school diploma or equivalent.

Minimum Knowledge, Skills and Abilities Required

  • Basic computer skills and demonstrated experience with office software and email applications.
  • Ability to follow through and complete assigned tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.

Certificates and Licenses Required

None Physical Requirements*
  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
