Administrative Assistant, Student Affairs and Campus Life Office

Description:
Reporting to the Assistant Vice President for Student Affairs, the Administrative Assistant to the Student Affairs and Campus Life Office is the central support to the offices and functions housed in the suite. The Student Affairs and Campus Life Office houses the critical offices for Housing and Residence Life, Community Standards and Student Conduct, New Student Transition Programs, Student Engagement and Leadership, Intercultural Student Affairs, Off Campus Student Services, Student Clubs and Organizations, Parent and Family Programs, and Assessment, Care and Case Management. This position also lends support to the Vice President and Dean of Campus Life and the Senior Administrative Associate to the Vice President, also housed in the Campus Life suite.
This position is front line service position. A successful employee must be able to work in an active and professional office environment and must handle multiple priorities. The administrative assistant should have the ability to diffuse difficult situations and must be able to remain calm and courteous at all times. This position is part of the Student Affairs and Campus Life team and must be able to work together with other team members to help the office and department fulfill its mission. Given the nature of the Vice President's Office, this position is expected to exercise good judgment on issues, questions and problems that arise.

Required Knowledge:
Two (2) years experience in student/customer service and two (2) years clerical experience in an office setting.
Experience in working in an office environment as a front-line service provider.
Experience and demonstrated proficiency at the basic level with Banner, Google, Excel, MS Word, Campus Labs, Maxient and Google Docs.
Ability to work with faculty, staff, students and the public with professionalism and courtesy.
Demonstrated experience working collaboratively with peers.
Excellent verbal and written communication skills.
Must possess the ability to work successfully in a high stress environment, handling multiple tasks and projects simultaneously.
Ability to work with accuracy.
Must be dependable and reliable.
Ability to maintain confidentiality on all information regarding student records, faculty and student communications and personnel matters.
Must have ability to work independently and have strong decision making skills.

Preferred/Desirable Knowledge:
Knowledge of functions in a Student Affairs environment in a college or university is strongly preferred.

Required Prior Work Experience:
Minimum two years of administrative experience

Job Duties:
  • Serves as initial point of contact for faculty, staff, students, parents, family, alumni and general public seeking assistance from the Student Affairs and Campus Life office services. In this role, this position must carefully, courteously and professionally listen to visitors and guests to ensure that their need is accurately defined at the outset; based on this analysis, this position determines an appropriate course of action that may include answering the question him/herself, referring it to another office, or scheduling an appointment with the appropriate Student Affairs and Campus Life staff. Provides administrative support for the departments housed in the Student Affairs and Campus Life office and other managers as assigned. Coordinates office activities to support these administrative areas. Manages the telephone and electronic communications of the office. Collects and maintains inventory of office and kitchen equipment and supplies. Arranges for repair and maintenance of all office equipment.
  • Trains, supervises and evaluates student workers.
  • Partners with Senior Administrative Associate to the Vice President and Dean of Campus Life in office management and providing an orientation and on-boarding of new student and professional staff to the office suite. Manages schedules of student and professional staff in the Student Affairs and Campus Life office suite.
  • Coordinates and schedules the two conference rooms, meetings, special events and other events as required.
  • Creates and distributes correspondence as requested. Maintains knowledge of College policy and procedures. Directs inquiries of students, faculty, staff and visitors to appropriate areas. Supports staff in assigned project-based work. Collects, sorts, and distributes incoming correspondence, including regular mail, email and faxes. Serves as a Departmental Records Officer.
  • Observes appropriate privacy guidelines and maintains confidentiality of all records in accordance with college policy and Student Affairs and Campus Life office procedures. Carries out other duties as may be assigned in keeping with the functions of the position.
