Administrative Support III - School of Education

Position Category: Staff - Full-Time

Summary:
This position fulfills a key role in providing clerical and administrative support to the department chair of Secondary Education and the Assistant Dean for Engagement. Performs advanced and confidential administrative support duties, including composing routine correspondence and obtaining factual information requiring knowledge of policies/procedures of both assigned and work related areas. Additionally, the position provides support to the department faculty and school's administrative staff. Coordinates department financial activities including timecards, ePAFs, eSAFs, new hire paperwork completion and submission, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc. Maintains inventory of office equipment and supplies; handles other office duties as needed. Establishes, updates, and maintains unit's file, inventories, ordering, receiving, billing, distributing, monitoring, and reconciling of expenditures. Manages the payroll process including preparation, submitting, monitoring, and maintaining accurate and complete payroll records.

The schedule is typically 8 am - 5 pm M-F with occasional changes for meetings.

Required Qualifications:
Bachelor’s degree related to the Summary of Duties or any combination of education and/or experience totaling four years.

Knowledge, Skills and Abilities:
  • Administrative knowledge of and skilled in office methods, techniques, practices and procedures.
  • Knowledge and skills in the use of computers and computer software applications including word processing, spreadsheets, email, internet, databases, and presentations (Microsoft Office Suite).
  • Knowledge of FERPA.
  • Skills in the preparation and of understanding of reports, charts, graphs, and tables.
  • Strong interpersonal, problem-solving and decision making skills.
  • Exceptional customer service orientation and phone etiquette.
  • Skills in record management.
  • Effective communication skills, both verbal and written.
  • Skilled in coordinating and assisting in the preparation and monitoring of departmental financial transactions and budgets.
  • Ability to plan and anticipate potential changes and act accordingly.
  • Ability to exercise independent judgement and decision-making, prioritize and follow projects through to successful completion under minimal supervision.
  • Ability to follow oral and written procedures and instructions.
  • Ability to meet and work with people of diverse backgrounds.
  • Ability to maintain confidentiality at all times.
  • Ability to achieve and maintain professionalism.

Physical Requirements:
Requires the ability to sit for extended periods of time, see, hear, talk and fine hand manipulation in the use of the computer. Requires the ability to walk and move about the office and other areas of the department/campus. May require lifting 10 lbs.

Pay Range: $25,665 to $32,082
