Duties: Under limited direction, provide administrative support to the Vice Dean for Development and Alumni Relations for the School of Engineering & Applied Sciences (SEAS) and all other members of SEAS Development staff. Serve as a primary point of contact for phone calls, correspondence, events, data, and routine or special requests. Develop and implement department wide online calendar for Vice Dean for Development and Alumni Relations, Executive Director of Development and other members of the development/alumni relations team. Be proactive in the management of calendars, including the Vice Dean's and Office's electronic calendar, and collect and compile all necessary background materials in preparation for meetings. Serve as a liaison to external constituents, and University and Department personnel including students, faculty, staff, alumni, Overseers and Trustees and other outside contacts who call or visit the office. Review, prepare and route confidential correspondence. Monitor and process office expenses, travel arrangements, itineraries and reimbursements. Maintain University database, ATLAS, and update several confidential databases of information with accuracy, discretion and professionalism. Process gifts accurately and in a timely manner. Manage meeting and small event logistics and occasionally work after-hours and weekend events. Hire and manage student workers. Perform problem-solving as well as manage a variety of tasks and projects in a professional, accurate, confidential, and timely manner. Organize and manage alumni event including preparing invitee list, managing invitation and responses, preparing bios and event information, working with facilities and caterer and managing all appropriate follow-up after the event. Position is also responsible for developing and analyzing and formatting data basis and producing reports and lists for gift officers to help identify opportunities and new strategies and approaches to engage donors.
Qualifications: A High School Diploma or GED and 5 years to 7 years of experience or equivalent combination of education and experience is required.
