Program Assistant II

Summary of the Position
This position provides administrative and program support to the department. The Program Assistant is the first person visitors to the CWB encounter and thus serves as a gatekeeper for the office. This position is both administrative and professional in nature; it requires flexibility, organization, and excellent communication skills.
This position provides administrative and technical support to the assigned manager and the entire department. The Program Assistant serves as a gatekeeper for the office.
Front desk operations: Responsible for front desk operations; provides website and social media support; facilitates activities and event planning; supports special events.
Data and information management: Supporting business development and corporate partnerships, responsible for data entry to the CWB/UA Millennium database. Prepares reports, memos, schedules, expense reports, and other documents using Microsoft Word and Excel. Other systems this person might work with include but are not limited to: People Admin, Banner, imodules, Cognos, and Eventbrite. This position assists in managing calendars and scheduling appointments.
Social Media: Assists in managing the CWB's social media outlets (Twitter, Instagram, Facebook, LinkedIn, etc.)
Communication: Communicates with a variety of internal and external constituencies as needed. Distributes incoming correspondence and records minutes at some meetings.
Research: Conducts internet and other research in support of CWB issues/programs as required.
Meeting and event support: Organizes internal and external meetings and supports CWB events (conferences, workshops, etc.). Activities might include scheduling, registrations, room reservations, catering, staffing, and other logistics.
Travel Arrangements: Very occasionally provides assistance with travel arrangements and reimbursement of funds.
Work Study Supervision: This person may supervise work study students in the department.
Minimum Qualifications (Education and Experience Requirements)
Associate's degree plus 1-2 years related work experience, including established computer/tech and social media skills (such as Word, Excel, Outlook, PowerPoint, Twitter, LinkedIn, and other social media).
Excellent interpersonal, communications, and organizational skills required. Must be collaborative, flexible and able to handle sensitive information.
Additional: Occasional early morning or evening work due to special events.
