Princeton University seeks a dynamic and self-motivated professional to join the Office of the Provost as an executive assistant to the Provost.



This is an exciting opportunity to utilize your superior administrative, organizational and interpersonal skills to provide high-level support and assistance to the Provost and other senior staff members (as needed) in a fast-paced environment.



The successful candidate will be able to complete complex assignments quickly, respond with appropriate urgency to situations that arise and solve difficult problems pro-actively and efficiently. The executive assistant must exercise a high level of judgment, integrity and discretion in handling confidential information and be the consummate professional in interacting with all levels of individuals internal and external to the University.

As a high-level administrative assistant to the Provost, responsibilities include managing correspondence; preparing materials for meetings; managing independent projects and priorities; and alerting the Provost to outstanding issues and staff concerns.

Responsibilities

Represent the office to, and interact with, senior administrators, faculty, staff, students, alumni and trustees, as well as distinguished individuals outside the university. Independently manage incoming requests to the office of the Provost by determining priorities, in addition to researching, responding or delegating responses as appropriate on behalf of the Provost.

Identify, prioritize, and coordinate meeting materials and follow-up documents to assist the Provost in accomplishing objectives, deadlines and commitments for major University initiatives and working groups, including for the Board of Trustees. (To include: draft correspondence, preparation of final meeting agendas, visual presentations, handouts and minutes.

Assist the Provost and other senior staff members by independently managing special and on-going projects including: data collection, analysis, compilation of reports and briefings based on independent research. Share information and best practices, and consult with the Provost's direct reports and their staff to improve effectiveness of administration.

Ensure the Provost is kept on schedule and is appropriately briefed: evaluate and prioritize time requests and manage the Provost's complex and dynamic schedule under significant constraints.

Manage office budget and finances, and oversee accounts reconciliation. Oversee the review cabinet travel and expense vouchers for accuracy, completeness and validity of expenditures.

Coordinate travel arrangements for the Provost and campus visitors; manage special events and retreat logistics.

Qualifications

The successful candidate will have five or more years of administrative experience supporting a senior administrator or executive.

Demonstrated ability to take initiative and thrive in a fast paced environment.

Strong work ethic; flexibility and adaptability that includes a willingness to undertake both mundane and complex tasks with enthusiasm and energy.

Excellent interpersonal skills with strong orientation service and teamwork.

Excellent oral and written presentation and communication skills.

Excellent judgment, organizational and managerial skills. Ability to prioritize effectively and work autonomously in a self-directed manner.

Strong analytical, problem solving and data gathering skills.

Bias toward quality and accuracy; extremely detail oriented.

Excellent computer skills including advanced proficiency using e-mail (Outlook), web browsers (Explorer) and the Microsoft Office suite of applications (Word, Excel, Access, Power-Point) and Adobe.

Financial expertise, competency managing budgets, and the ability to use enterprise-wide administrative and financial systems (e.g., People-Soft, Princeton's information warehouse, etc.).

High level of professional discretion and confidentiality; commitment to professional integrity and fostering a respectful and collaborative work environment.

Willingness and ability to learn and develop self and others.
