I. JOB OVERVIEW

Job Description Summary:

Research and discovery is at the core of the mission of GW School of Medicine and Health Sciences. By advancing translation of research and increasing interdisciplinary collaboration in key areas of strength, SMHS researchers are identifying novel approaches to address the world's most devastating health issues, including cancer, HIV/AIDS, and a wide spectrum of neurological disorders.

The Research Program Assistant position aids the Fiscal Administrator in providing business and logistic support for the research enterprise. Responsibilities include purchasing, vendor payments, travel arrangements, timekeeping and labor distribution, while applying internal policies and federal grant regulations. The position requires obtaining a GW Pcard and complying with GW reporting requirements to maintain the Pcard in active status. Additional duties include assisting with correspondence and documentation related to HR and immigration matters, interdepartmental transfers, and external billing.

Responsibilities Include:

Purchase lab supplies such as reagents, antibodies, custom primers, controlled substances, DNA sequencing, gases, animals and animal diets, and instruments. Prepare and submit expense reports for Pcard transactions, allocating to correct grants and departments. Track purchases charged to MFA funding sources and prepare supporting documentation for inclusion in monthly MFA billing.

Make travel arrangements for employees presenting at and attending conferences, and travel and honorarium arrangements for visiting speakers. Prepare and submit expense reports for Pcard and employee travel and other reimbursements allocated to various grants and departments.

Enter data in PeopleAdmin for new position requests, position changes, posting requests, and hiring proposals. Compile visa applications by obtaining information from the applicant and drafting support letters and actual wage questionnaires for department chair and dean signatures. Track routing of HR requests and visa applications and follow up as needed. Maintain leave records for lab staff.

Obtain departmental and OVPR approvals on Pathology Core lab invoices and compile journal entries monthly. Send invoices to external Pathology Core lab clients and deposit checks.

Check timekeeping system, resolve missing or incorrect clock codes, and approve submission before the biweekly deadline. Request new student hires and monitor progress until visible in the timekeeping system. Check that terminated biweekly employees are no longer in the timekeeping system. Enter labor re-distributions based on PI initiation forms or grant budgets as directed by supervisor.

This position performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

High school diploma/GED, or equivalent combination of training and experience, is necessary plus 1.5 years of relevant experience, or a bachelor's degree.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

Data entry speed and accuracy are needed, as is the ability to manage priorities and meet deadlines.

Excellent customer service skills are needed in interactions with principal investigators, lab staff, and visiting scholars and speakers.

Prior experience with systems that GW uses such as Concur, EAS and BANNER is a plus.
