(Job #17-49) Administrative Support Coordinator I, Philanthropic Services Gift Processing Specialist, $2,846-4,619. Appointments are typically made at the beginning of the salary range. This is a full-time, 12-month, benefitted position with a one-year probationary period in the department of University Advancement.

Position Summary: This position is a part of the team responsible for the processing of donations to Humboldt State University. This position is responsible for the upkeep of records in the Raiser's Edge database which includes appropriate documentation for transactions, and facilitating donor communications including pledge reminders, gift acknowledgments and receipts. This position will interact collaboratively with other campus units and must possess excellent customer service skills, and when needed, field phone calls from donors with questions about their giving.

Duties: Coordinate the entry, acknowledgement, receipting and documenting of gifts according to GAAP, CASE and IRS standards. Ensure that all gifts meet donor intent. Securely process recurring and online transactions in Raiser's Edge. Receive, enter and process credit card transactions ensuring that all cash handling policies are followed. Produce mass customized gift/event acknowledgments, receipts and reminders and for a variety of gift programs. Maintain proper documentation of transactions. Field questions and concerns from donors about their giving.

Use discretion to correctly update all constituent records according to established standards. Use reasoning and judgment to develop practical, thorough, and creative solutions to common and unique problems. Enter new constituents into the database as they are either acquired as donors or new constituencies are discovered. Train new and existing users in Raiser's Edge and in our data handling policies. Help maintain and document our data entry policies and standards. Perform assigned global changes and updates to records

Assist in receiving data requests from campus. Run pre-written reports with minor changes to provide divisional and campus stakeholder gift reports. Run assigned queries and lists for communications. Maintain a calendar of fundraising reports and communications

Minimum Qualifications: The equivalent of a high school diploma and several years of progressively responsible administrative support experience.

Knowledge, Skills and Abilities: Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods. Must have the ability to communicate effectively with a diverse population. Must be attentive to detail and work effectively independently as well as within a team environment. Confidentiality and discretion are essential. Must have the ability to work effectively in a large, complex, dynamic, and sophisticated organization. Must know Microsoft Office Suite, including dynamic Word merges, graphs, charts, and pivot tables. Must have ability to interpret and apply policies, laws and regulations governing charitable giving; experience with relational databases, preferably Raiser's Edge. Must know cash handling and cash handling policies including transaction documentation. Must have ability to efficiently contribute to multiple projects, set appropriate priorities and meet competing deadlines. Must use desktop computer, phone, fax and document scanner.

Preferred Qualifications: One year of experience working with relational databases, preferably Raiser's Edge; one year of experience working in nonprofits or in higher education; knowledge of financial data, accounting and reporting; and experience in handling cash transactions.
