Duties: The Administrative Assistant will provide support to the Occupational Medicine Residency Program and its Program Director. This role supports the provision of a structured educational program for the benefit of the residents and assists in the administering of the residency program as outlined in the Accreditation Council of Graduate Medical Education (ACGME) Program Requirements and institutional Graduate Medical Education (GME) guidelines. The Administrative Assistant provides administrative, organizational support and research support for the Program Director and residents. Additionally the Administrative Assistant will provide administrative support to the Occupational Medicine Residency Coordinator, who coordinates the educational efforts of the residency program. The Administrative Assistant's responsibilities include, but are not limited to: scheduling meetings and interviews, organizing residency applicant materials, data entry into university systems (including MedHub), supporting the Program Director with grant submissions and publications, arranging travel and reimbursements, creating documents, filing and file maintenance. The Administrative Assistant will be responsible for updating the Occupational & Environmental Medicine Residency website, creating
and distributing residency announcements via a newsletter, ensure that residents are complaint in accordance with ACGME, GME, ABPM-OM and ACPM. The Administrative Assistant is expected to audit and maintain resident portfolios, process resident applications and keep PD abreast of all applications to ensure that resident decisions can be made in a timely fashion. The Administrative Assistant will also maintain graduate database and survey employers of recent graduates to ensure satisfaction with their performance and implement and maintain faculty CME & scholarly work on a semi-annual basis, compile summary of faculty evaluations for PD to discuss faculty performance with each faculty member.

Qualifications: A high school diploma or GED and 3 to 5 years of experience or equivalent combination of education and experience is required. A Bachelor's Degree and 1 year to 2 years of experience strongly preferred.
