Under the direction of the Program Coordinator for Off-Campus Student Services, the Program Assistant will provide program support within the office of Off-Campus Student Services. This position is responsible for assisting the Program Coordinator and Director in the performance of Off-Campus Student Services Office activities and requires the ability to regularly exercise independent judgment within known practice and to resolve problems of administrative detail and procedures. This individual is responsible for independently managing high-level, detailed projects while simultaneously providing exemplary customer services in a high-traffic office environment. The incumbent must possess the ability to maintain a high degree of accuracy and efficiency while working in a fast-paced environment.

  1. Provides verbal and/or written information and assistance to staff and the public regarding Off-Campus Student Services policies and procedures;
  2. Arranges and coordinates meetings including space, equipment and meeting materials. May take minutes of meetings and/or type them from a rough draft;
  3. Exercises general supervision over office personnel, including students, and office functions; processes and maintains necessary paperwork, records, and files to support Off-Campus Student Services, including fiscal and personnel records;
  4. Acts for supervisor in matters of administrative detail;
  5. Independently manage special projects, which may be short- or long-term and require knowledge of Off-Campus Student Services activities;
  6. Assists in making purchases and payments (within prescribed limits of authority);
  7. Provides support with management of the office budget (e.g. compiles figures, reviews reports, verifies expense items);
  8. Manages and tracks office supply inventory, order office supplies and equipment as needed;
  9. Completes processes and maintains paperwork for purchasing (e.g. orders, requisitions, invoices, etc.); maintains time, phone and attendance records;
  10. Designs and initiates new forms and procedures to facilitate and/or improve workflow.
  11. Composes, formats and types a full range of correspondence, such as letters, emails, reports, memos, course materials, manuals, drafts, etc. from rough draft, for own or supervisor's signature.
  12. Proofreads for content, using knowledge of grammar, punctuation and spelling.
  13. Designs, organizes and maintains files (including confidential files);
  14. Updates and reviews reference materials and manuals pertaining to Off-Campus Student Services program.
  15. Keeps up-to-date of changes to University policies, Town Ordinances, and information related to commuter students' needs in relation to the functions of the Off-Campus Student Services Office.
  16. Performs other related duties as assigned.

  1. Bachelor's degree or equivalent combination of education and experience.
  2. One to three years' experience in a responsible administrative support position, which demonstrates knowledge of administrative methods which includes supervision of student employees
  3. Excellent interpersonal, organizational, oral and written communication skills with attention to details
  4. Ability to work independently and regularly exercise judgment regarding administrative detail and procedures.
  5. Ability to provide entry-level program support.
  6. Experience using Microsoft Office Suite, (Word, Excel, Power Point, Outlook and Access)
  7. Experience operating office equipment including personal computers and electronic equipment.
  8. Willingness to work flexible and irregular hours as needed.

  1. Experience working in a higher education environment.
  2. Demonstrated experience working with the public in a diverse environment.
  3. Experience using Peoplesoft, Word-Press, Core-CT(web design) and/or Maxient.
  4. Experience managing budgets and fiscal paperwork.


This is a full-time, 12-month position with an excellent benefits package. The anticipated start date is August 2017.
