Bachelor's Degree. Two years of full time experience in customer/stewardship/donor relations at an educational, non-profit or equivalent institution. Demonstrated background in writing correspondences or similar client-centered communications that indicate superior writing skills.

Preferred Qualifications:

Donor relations experience. Experience at an educational or non-profit institution. Direct experience in fundraising operations. Proficiency with Raiser's Edge or similar constituent database. Proficiency with Microsoft Word’s mail merge function.

Brief Description of Duties:

The Donor Relations Associate, reporting to the Senior Director of Donor Relations, works closely with the Senior Director and others to establish and strengthen long-term relationships with donors to the Stony Brook Foundation. This relationship building, on behalf of the Office of University Advancement, will include collaborating with Advancement staff (including the Stony Brook Foundation), key campus administrators, and volunteers regarding donor recognition and appropriate stewardship of gifts and grants.

The Donor Relations Associate will write text for and coordinate the preparation of printed and electronic communications associated with the receipt, recognition, and use of philanthropic gifts and grants, including but not limited to: gift receipts, acknowledgement letters, scholarship and endowment reports, the Stony Brook Foundation Annual Report, web based information, donor lists/donor walls, and other related communications with donors. S/he will also have personal interactions with donors at various donor recognition and stewardship events coordinated by the Advancement Office. The selected candidate will be responsible for the following duties:

Assist Donor Relations team in all phases of writing and producing highly customized gift acknowledgements including Presidential thank you letters as well as standardized correspondence such as Vice Presidential acknowledgements, honorary/memorial gift notifications, and other acknowledgements as needed. Research returned acknowledgements and redirect whenever possible; respond to donor questions and concerns about receipts and acknowledgements, and coordinate with technical and data entry personnel to ensure appropriate changes to the donor database. Ensure timely receipting and acknowledgement of gifts; maximize personalization and impact of acknowledgements for high-level donors. Assist Donor Relations team in implementing and sustaining regular communications with scholarship donors, including gathering, preparing, and sending authorized information on recipients; eliciting, reviewing, and coordinating personal acknowledgements from recipients; and collaborating with Advancement Events, Student Financial Aid Services, and other University colleges/schools/units as needed. Collaborate with Advancement staff and gift beneficiaries to implement, enhance, and sustain improved communications with regard to the impact of endowments; assist in publicly recognizing donors through vehicles such as the Annual Report, donor walls, and donor impact stories, as deemed appropriate. At the discretion of the Vice President for Advancement, Associate Vice President for Advancement Services, and the Senior Director of Donor Relations, such communications may include strategic phone calls and in-person contact with donors. As needed, assist Advancement Events, Gift Planning and other Advancement personnel with preparation and implementation of donor recognition and stewardship-related events. Facilitate and review printed and electronic gift and grant receipt production in coordination with student assistant(s). Ensure timely and accurate receipting, including year-end summary receipting. Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes: This is a full time position. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
