Posting Summary:
The Office of Undergraduate Admission invites applications for an Executive Assistant and Office Manager position. This position will serve as Executive Assistant to the Dean of Admission, assisting with special projects and speaking on behalf to various deans, VP's, board members, and the Office of the President. In addition, this person will prepare correspondence on the dean's behalf, screen phone calls, maintain calendars, and assist with travel arrangements and reimbursement.

As Office Manager, this position will be responsible for the supervision of all front office activities (handling all incoming telephone calls and numerous visitors) and its staff of three persons as well as 3-4 work-study students.

This position serves as budget manager by assisting the Associate Dean with budget planning and reporting, maintaining expenditure documentation as required, acting as fiscal administrator, and serving as back-up for the Fiscal Technician.

Other responsibilities include serving as the office human resources specialist, I-9 specialist, back-up timekeeper and building facilitator. The successful candidate shall possess significant administrative support experience, strong writing skills, excellent organizational skills, supervisory experience, and strong interpersonal skills. Experience with the integrated system, JOBS@, LEAD@, Recon@ and SSTL are strongly recommended.

Required Knowledge, Skills and Abilities:
Working knowledge of office practices in a senior executive office with demonstrated skill in handling complex and difficult situations. Confidentiality and tact are required. Excellent verbal and written communications are essential. The ability to work collaboratively in a team environment is essential. Being flexible to assist when needed. Strong organizational skills and attention to detail.
