Position Title Administrative Assistant    

Job Description Summary

The Administrative Assistant will be responsible for front end customer service which includes: answering numerous phone lines, assisting with classroom scheduling and mail.

Major Duties

• Answers telephone and greets visitors; provides information and assistance.
• Assists faculty and staff with the use of office equipment including copiers, scanners, printers, ScanTron machines, fax machines, telephone/voice mail, laminators, etc.
• Coordinate room for EGSC faculty and staff for meetings, classes and exams (coordinating with various units of Augusta University to schedule rooms,etc)
• Processes travel reimbursement requests; makes copies; composes correspondence;
• Maintain testing cabinet, coordinate proctored examinations, coordinate with faculty, staff and students on proctor rules.
• Train and provide direction for student workers
• Maintain faculty schedule, office hours and phone lists
• Maintain state car records (keeping keys, mileage log, gas receipts, servicing of car, etc.)
• Keep up with monthly copier counts (assigning/deleting copier codes, keeping copier count logs, etc.)
• Assists in the management of the division budget.
• Assists with EGSC-Augusta newsletter (collecting information before the deadline, etc.)
• Orders office supplies; manages division equipment needs; oversees the maintenance of office equipment.
• Places work orders as needed.
• Picks up and distributes daily mail.
• Serve on various employee committees as needed or assigned
• Responsible for handling student fees; nightly deposits of the Augusta location.
• Some evening work and travel may be required.
• Performs related duties as assigned.

Knowledge Required by the Position

• Knowledge of college policies and procedures.
• Knowledge of modern office practices and procedures.
• Knowledge of computers and job-related software programs.
• Skill in the provision of customer services.
• Skill in oral and written communication.

Supervisory Controls

The Augusta Director – The Director assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.


Guidelines include Board of Regents and East Georgia State College policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.

Complexity/Scope of Work

• The work consists of related administrative support duties. Frequent interruptions contribute to the complexity of the position.
• The purpose of this position is to provide administrative support for the college’s Augusta location in this position contributes to the efficiency and effectiveness of location operations.


• Contacts are typically with co-workers, other college personnel, students, vendors, and members of the general public.
• Contacts are typically to provide services, to give or exchange information, or to resolve problems.

Physical Demands

• The work is typically performed while sitting at a desk or while standing or walking. The employee occasionally lifts light objects.
• The work is typically performed in an office.

Supervisory and Management Responsibility


Minimum Qualifications

• Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
• Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

Preferred Qualifications

An Associate’s degree is preferred.
