Global Business Services is an emerging function within Stanford's Financial Management Services organization, which reports to Vice President Business Affairs & Chief Financial Officer. The function has grown to address business risk issues, regulatory compliance and operational support needs for Stanford's outbound global activities. These include permanent centers in 13 countries and research/teaching activities in over 150 countries worldwide. The function is still emerging, and works collaboratively with other University global coordination and support functions. The role requires an uncompromising focus on the customer, balanced with a keen understanding of institutional controls and risk tolerance, and an ability to promptly propose solutions while influencing process and systems change over time.

Job Purpose:

Perform complex accounting functions including designing and performing ad hoc analyses, developing and maintaining complex data models, analyzing large data sets, and reconciling complex accounts. This role will support accounting, financial reporting and maintenance functions for global activities at Stanford's international legal entities, branches, and field operations by among others, preparing and/or reviewing financial statements, performing period-end accounting close processes, preparing funding requests, preparing and/or reviewing bank reconciliations, and collaboratively liaising with outside accounting, tax, and payroll service providers to accomplish engagement objectives.

Core Duties and Responsibilities*:

  • Design and perform ad hoc analyses; develop and maintain complex data models, perform sensitivity analysis, analyze large complex data sets, and reconcile complex accounts.
  • Construct and assemble data for budgeting, forecasting, reporting, and decision-making; develop conclusions, and present high-level summary of recommendations. This includes leading and/or supporting financial data collection, manipulation, analysis and reporting for
    • periodic BE 125 and BE 120 reporting,
    • indirect/consumption tax (e.g. VAT and JCT) reporting, and
    • other tax and withholding tax compliance reporting.
  • Identify and resolve complex issues, which may span multiple areas; apply ingenuity and creativity to problem analysis and resolution, and recognize exceptions. Participate in developing solutions that may require policy changes or the development of new processes; maintain broader organizational perspective in decision-making. This includes performing the following for Stanford's international legal entities, branches, and field operations,
    • Active participation in the update, development, and communication of financial and accounting policies and procedure guidelines for Stanford's international legal entities, branches, and subsidiaries.
    • Engagement in continuous critical analysis of existing systems and processes, making recommendations to achieve greater efficiencies and improve internal controls, defining requirements, documenting, developing and implementing complex test cases, performing testing and analyzing results.
  • Develop reports and presentations of complex financial data and metrics for management and third parties. This includes progressively contributing to, assisting with, and leading financial statement preparation (including in accordance with International Financial Reporting Standards (IFRS)), and the annual audit process for Stanford's international legal entities, branches, and subsidiaries.
  • Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. Manage compliance program for area of responsibility, and create complex compliance reports. This includes performing the following for Stanford's international legal entities, branches, and field operations:
    • Maintaining and reviewing accounting process controls;
    • Recommending and implementing any approved modifications to the accounting process controls;
    • Performing preliminary analysis and recommending solutions for accounting process controls.
  • Provide consulting advice to client group(s); serve as a resource on matters that require specific technical, financial, or subject matter expertise; support negotiations with external partners.
  • Participate as a member of a project team; support new initiatives; cooperate and adapt to changes and processes; make decisions determining approach to managing and completing processes.
  • Lead, communicate, and contribute to unit and organization strategy; assist in the development of change management plans and web content and provide support for course delivery and materials update, as needed.
  • Develop and maintain desktop procedures and process documentation for area of responsibility.
  • Support development and implementation of global accounting platform. Define requirements, develop and implement complex test cases, perform system testing and analyze results. Participate in critical analysis of existing systems and processes, and identify opportunities for process improvement.
  • Contribute primarily through applying individual expertise.
  • As a member of Financial Management Services/Global Business Services, actively support and initiate efforts to achieve the unit's mission and vision. This includes:
    • Maintaining a University perspective in day-to-day activities as well as longer-term initiatives and strategies.
    • Representing FMS as a whole in interactions with others.
    • Developing relationships and providing high levels of service to school and department clients and other central business partners.
    • Developing and promoting relationships among FMS departments and staff.

Minimum Requirements:

Education & Experience: A Bachelor's degree (preferably in business or accounting) plus eight years of applicable experience, or an equivalent combination of education and relevant work experience.

Knowledge, Skills and Abilities: The following are the minimum required

  • Advanced proficiency in business applications, such as Microsoft Office; advanced Excel skills.
  • Advanced knowledge of accounting systems and reporting tools, preferably Oracle ERP; computer literacy.
  • Familiarity and experience with data mining, data manipulation and reporting tools such as SQL Programs, preferred.
  • Ability to interpret and apply advanced accounting knowledge and understanding of Generally Accepted Accounting Principles (GAAP).
  • Strong communication skills, including the ability to clearly and effectively communicate information for verbal and written to internal and external audiences and client groups.
  • Demonstrated project management skills and ability to contribute/lead as part of a multi-functional team.
  • Demonstrated ability to apply effectively the following competences: Business/Financial Acumen, Collaboration/Consultation, Critical Thinking, Customer/Client Focus, and Resilience.

Preferred Qualifications:
  • CPA strongly preferred.
  • Over five years of financial experience working in a large, complex organization preferred.
  • Knowledge and understanding of nonprofit accounting, IFRS, foreign GAAP, and internal controls.
  • Experience with Oracle Financials and knowledge of University/Stanford administrative systems and procedures will be helpful.
  • Advanced knowledge of Enterprise Resource Planning and financial systems, internet and computer literacy.
  • Hands on experience with international accounting with knowledge and experience with:
    • International tax principles, including transfer pricing,
    • Consolidation accounting for year-end financial reporting purposes, and
    • Cross-border currency transactions
  • Expert level of proficiency in MS-Office applications (Excel, Access, Word, PowerPoint).
  • Advanced professional communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal and external audiences, client groups, management, and in-country consultants, etc.
  • Strong project management skills, and the ability to contribute to or lead as part of a multi-functional team.
  • High attention to detail and strong analytical skills required.
  • High level of professionalism and integrity required, with a demonstrated ability to work productively with, and gain confidence of, all levels of an organization.
Physical Requirements*:
  • Constantly perform desk-based computer tasks.
  • Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less.
  • Occasionally write by hand, twist, bend, stoop, and squat.
  • Rarely stand, walk, reach or work above shoulders and use a telephone.
