Job Description
Job Purpose:
Office Manager and Administrative Coordinator for the Department of Integrated Information Technology (IIT). Chief resource person who plans, directs, administers and supervises administrative and management activities associated with personnel management, procurement and supply services, travel, department credit card liaison and outreach activities of the Department of Integrated Information Technology.

Duties include: 1) Supervise all daily department operations of the IIT department. Interpret university policies and procedures. Track and manage due dates for department processes (T&P submissions, annual reviews, award nominations, etc.). Solve problems as needed. Manage and direct support activities of the department to ensure IIT faculty needs are met. Supervise student workers and adjust job functions and work schedules as necessary. Manage the Department textbook orders - assign textbooks to courses and order desk copies. Maintain copies of all syllabi as required by SACS. Maintain confidentiality as required.20%; 2) Perform activities related to fiscal management to include monitoring compliance with IIT annual budget. Manage and direct department procurement with preparation of direct expenditure vouchers and purchase requisitions; purchase department supplies; serve as department Credit Card Liaison and ensure that university policies and cost-saving methods are followed in the department.15%; 3) Manage and direct department personnel functions; includes tenure track faculty, department staff, undergraduate student hires, graduate appointments, and weekly timecard entries. Supervise ITAMS for the department.15%; 4) Provide direct administrative support to the Department Chair by coordinating Departmental internal and external events and meetings, including Industrial Advisory Board meetings, faculty searches, summer camps, international and other visitors to the department, and other events. Maintain minutes for all meetings covered under public sunshine laws.10%; 5) Manage and direct administrative duties for the Chair to include scheduling appointments, meetings, domestic and foreign travel, and any cost reimbursements.10%; 6) Manage preparation of Travel Authorizations, TRV, and make arrangements for the accommodation needs of long-term international and other visitors to the department.5%; 7) Oversee production of brochures, poster, newsletters, and information packets for Public Relations. Develop and maintain effective relationships with University student organizations, committees, faculty, staff, and students, industrial and government offices, and the general public.5%; 8) Control confidential department files as related to Faculty Tenure and Promotion, class evaluations, salaries, annual reviews and strategic planning. 5%; 9) Other duties as requested by the Chair of the Department of Integrated Information Technology.5%; 10) Maintain female and minority enrollment data. Prepare charts for the IIT leadership. Manage and organize efforts to improve the retention and recruitment of female and minority students in computing. This includes managing any funded initiatives for this purpose.5%; and 11) In conjunction with Department Chair, organize and submit class schedule requirements in timely manner. Coordinate with CEC Student Services. Monitor and manage course enrollments.5%


Minimum Qualifications
Bachelor's degree and 6 years related experience in business management, administrative services or related field; or equivalency.
