This is a full-time, permanent post reporting to the Assistant Director for Academic Affairs. The Academic Affairs Administrator ensures the efficient delivery of the NYU London academic programme and works closely with faculty and staff to coordinate academic class preparation and administration. The Administrator is the first point of contact for any academic student enquiries and manages communications between students, the Academic Affairs team, other NYUL administrative staff and faculty.

Principal Duties and Responsibilities:

    Providing advice and guidance to students and faculty about academic policies and procedures Dealing with general enquiries and administrative tasks associated with the successful running of the Academic Affairs Department Assisting with the management of student attendance records Assisting with the administration of registration and grading each semester Assisting the Assistant Director with data input related to classes, grading, student schedules, etc. on NYU databases and reporting systems Updating academic related information on the NYUL web site, NYUL syllabus template, and any NYUL Academic Affairs office publications or correspondence; gathering and collecting information from faculty and other staff Helping to ensure the appropriate maintenance of academic records with reference to FERPA and data protection requirements Assisting with the maintenance of records of grades, attendance, class offerings, etc. according to correct procedures Playing a key role in all of NYUL's room allocations and bookings; ensuring up to date knowledge on NYU's 25Live room booking system Collecting agenda items, taking minutes, room preparation/catering, and general organisation for faculty meetings Assisting with organizing and supports on-site functions and meetings as required Supporting the academic-focused visits for visiting staff and faculty from NYU campuses and other global sites Contributing to the strategic development of the programme Other supporting requirements as assigned by the Assistant Director or as required by the Director

Class, student and faculty support:

    Acting a first point of contact for academic-related faculty and student enquiries in person or by email Liaising with faculty regarding course texts, arranging coursepacks, placing text book orders and coordinating the student book sale; coordination of intersession programme book orders Coordination of the NYUL library collection and arranging external library memberships for classes, as required; liaising with the Global Services Librarian(s) in New York Providing administrative support for the NYUL-SOAS programme Organisation of syllabi collection and administration for all classes Assisting faculty with scheduling make-up class sessions Supporting new faculty recruitment and the induction of new faculty Support faculty training, and providing ongoing faculty support, with NYU Classes and other classroom management tools; supporting initiatives to expand the use of NYU Classes

Student interfacing duties:

    Coordinating all academic accommodations for students and liaising with the Moses Center; scheduling extended exam sessions, arranging note-taking, organizing invigilation, acting as an invigilator, and making arrangements for students with academic accommodations as needed
Requirements for this postion:

    Strong organisational ability and keen attention to detail Be willing to work on his/her own initiative with little supervision Excellent interpersonal and communications skills and comfort working with both students and faculty Be enthusiastic, pro-active and committed, and enjoy working in a small team Computer literate with good knowledge of Microsoft Office suite Excellent written & oral skills Educated to degree level
Preferences for this postion:

    Knowledge and experience of working within an educational organization, especially at HE level Some knowledge and understanding of US Study Abroad or US Higher Education

This position is located in London.
