Smith College is accepting applications for an Editorial Assistant.  Reporting to the Meridians Editor, the Editorial Assistant is responsible for the day-to-day operations of journal Meridians: Feminism, Race, Transnationalism; provides budget management and data reporting; and supports the work of the journal editor, partnering in curriculum development and supervising student interns. As the editorial assistant for the journal, serve as its first point of contact, representing the journal, Smith College, and the college’s academic mission with professionalism and integrity. As well as other duties as assigned.

DUTIES AND RESPONSIBILITIES:

Editorial Operations: Assist the Meridians editor in the publication of the journal. Coordinate workflow and communication between contributors, editor, editorial board, and publisher. Coordinate all aspects of the publication process including copy-editing, proof-reading, fact-checking, and copyright agreements, to ensure excellence in the quality of the publication and a high degree of professionalism in its operations.

Procurement and Budget Administration: Administer the Meridians budget, including purchasing, order and expense tracking. Process requisitions, purchase order requests, invoices, procurement card charges, and reimbursements. Reconcile budget expenses with College accounting system, providing budget status reports on a quarterly basis. Maintain financial files and paper audit trail for policy compliance. Monitor and approve student hours for payroll. Support grant-management.

Communication: Support the journal editor to promote the visibility of Meridians nationally and internationally. Maintain and update the journal web site and other marketing materials, including posters, social media presence, and events, as needed. Assist with journal correspondence. Support the operations of the editorial board, including event arrangements for its annual meeting. Collect, compile, and disseminate data and materials for the journal’s annual reports to the editorial board and Associate Dean of the Faculty.

Support Curricular Integration. Support the editor in advancing the integration of the journal with Smith’s undergraduate curriculum. Support programming, workshops, and presentations to promote integration of Meridians with undergraduate and faculty activities – including designing and implementing programs, publicity, and events. Coordinate with faculty and staff to advance these efforts. Supervise student interns: coordinate scheduling, tasks and responsibilities.

Administrative Support. Schedule meetings, coordinate deadlines and calendars, prepare and review documents and reports. Attend campus staff meetings and workshops to stay current with college procedures and policies; work with other offices as needed. Respond to all inquiries and provide general information for faculty, staff, students, publishers, editorial board, and contributors. Perform related tasks as needed.

Other Duties as Assigned. Projects that support the overall direction of the journal and its integration with the college, as approved by the Associate Dean of the Faculty.

MINIMUM QUALIFICATIONS:

Education/Experience: Bachelor’s degree preferred in women’s and gender studies, transnational, race or area studies, ethnic studies, or a related field; minimum of three years relevant experience in publishing (broadly understood); and/or an equivalent combination of education and/or experience. Operational and transactional experience within an academic or intellectual enterprise. Experience with budget management and communications via print, web and social media. Minimum three years working with undergraduates and faculty to support their learning, teaching, and/or research preferred.

Skills: Proven ability to organize and prioritize own work, resolving problems independently and managing multiple tasks simultaneously. Ability to absorb current best practices for administrative workflow and systems and willingness to participate in continued improvement and implementation of these practices in the editorial team. Excellent writing and speaking skills and facility with multilingual materials. Excellent interpersonal skills: ability to interact effectively with people of all backgrounds, within and outside Smith. Track record of sound judgment and confidentiality. Ability to track expenses and manage financial data accurately in paper files, spreadsheets, and accounting systems. Experience and facility with on-line and social communications media, and contact management software. Proficient in the use of office technology, especially Microsoft Office, Access or Filemaker, Word, and Excel. Facility with Banner, Moodle, and/or Contribute.
