Job Posting

Under the direction of the Associate Director for Event Services, the Event Production Coordinator provides administrative management and program support for the Student Union Event Services team, which provides services and events for students, faculty, staff, alumni and guests.

Duties and Responsibilities
  1. Coordinates program logistics for the use of Student Union facilities including space reservations, coordination of room set-up and equipment requirements, and audio-visual needs; identifies staffing levels and coordinates with internal and external resources, making adjustments to accommodate changing priority needs.
  2. Serves as a resource to resolve administrative and logistical problems, collaborating with customers, Student Union staff, and other University staff as appropriate, to ensure events and programs are successful and within code compliance.
  3. Makes decisions in Associate Director's absence, as delegated, within broad guidelines; represents supervisor to other university offices, the public or outside agencies in matters of administrative consequence.
  4. Oversees student employees which includes selection, training and supervision; responsible for performance evaluations, employee schedules, and directing workflow.
  5. Maintains responsibility for event production details requiring an understanding of program objectives, student organization requirements and facility resources and capabilities.
  6. Advises all users (student organizations, University departments, and outside customers) on all relevant University, Division of Student Affairs and Student Union policies and procedures; within established policies, transmits authoritative information which may establish precedents and recommends specific courses of action to Associate Director for Event Services.
  7. Reviews administrative policies and procedures for efficiency and effectiveness and advises supervisor regarding improvements. Interprets and implements policies as established by supervisor; establishes operational procedures to implement policies. Assists in the development of policies and procedures in the area of facility usage and maintains written policies and procedures.
  8. Maintains Student Union operational resource materials i.e. facilities use guidelines, student employee manuals, etc.
  9. Develops and supervises the Student Employee training program in accordance with the Division of Student Affairs and Student Union goals and objectives, which includes marketing positions, tracking attrition rates, and developing on-going learning opportunities through workshops, seminars, etc. Develops learning outcomes for student staff and completes assessment projects to evaluate the success of these efforts.
  10. Serves as a member of various Student Union committees, maintains responsibility for the student employee lounge, requests internet software access for student employees, evaluates job descriptions for new positions, etc.
  11. Performs related duties as required.

Minimum Qualifications
  1. Bachelor's Degree in business, hospitality, recreation, education or related field.
  2. Minimum of 4 years of professional experience in event services.
  3. Demonstrated ability in supervising staff in a customer service environment.
  4. Demonstrated planning and production skills.
  5. Excellent oral and written communication skills.
  6. Demonstrated decision-making skills in a complex organization.
  7. Willingness to work irregular and flexible hours.
  8. Ability to work independently and take initiative in resolving problems.
  9. Demonstrated interpersonal skills including the ability to work effectively with students, faculty, and staff in a diverse and multi-cultural community.

Preferred Qualifications
  1. Master's Degree in student personnel higher education administration, hospitality, or related field.
  2. Two years of professional experience working in a college/university setting.
  3. Proficiency in EMS or other event management computer software.
  4. Knowledge of Meeting Matrix or other meeting room diagramming software.
  5. Current membership and/or active Involvement in professional organizations related to the profession.
  6. Working knowledge of audiovisual equipment and set-up requirements.
  7. Demonstrated ability to effectively train staff in work-related topics i.e. customer service, communication, conflict management, etc.

Appointment Terms

This is a full-time 12-month position working Monday thru Friday from 7:30am - 3:30pm. Expected salary for this position will not exceed $55,000.
