Job Purpose Reporting to the Director of Funds Management, the Assistant Director of Funds Management will, as part of a team, administer the University's financial aid programs for undergraduate and/or graduate students, their families and supporters, Stanford colleagues and the general public related to financial aid programs and policies. Counsel and communicate complex information to students and their families.

Core Duties*
  • Coordinate graduate fellowships that must be centrally managed, such as National Science Foundation fellowships, and make determinations regarding student eligibility based on award regulations and University policy.
  • May be responsible for coordinating with the Athletic Department and maintaining NCAA compliance when disbursing athletic scholarship funds or outside awards for student athletes.
  • Determine student awards based on computed financial need and other factors, adjust budget and package based on special circumstances.
  • Communicate complex financial and other information to students and parents and possibly donors or other agencies in a clear, timely and professional manner, provide referral to other departments when necessary, and remain available as a resource for future questions.
  • Collaborate with university staff in other offices to resolve complex student issues.
  • Perform outreach functions in the local community; respond to requests for informational meetings.
  • Review a wide variety of reports to identify changes or conflicting data in financial systems, make corrective adjustment to student data records when necessary and communicate changes.
  • Receive and process large volume of outside award checks, prepare deposits, reconcile fund accounts (e.g., outside award clearing account, federal work-study, Cal Grants, etc.).
  • Prepare reports and maintain records on funding transactions, prepares extensive reports to appropriate agencies regarding fellowship disposition.
  • Evaluate student requests for use of fellowship funds, make decisions based on interpretation of program guidelines and discussion with program personnel and student departments.

Bachelor's degree and three years relevant experience or combination of education and relevant experience.


Minimum Knowledge, Skills and Abilities Required

  • Experience in need analysis and packaging of student financial aid.
  • Excellent communication skills, including the ability to exercise tact and discretion when dealing with students, families, and staff.
  • Expertise in counseling and working with students individually, ability to provide excellent customer service in difficult situations.
  • Demonstrated ability to set priorities, manage time and workflow and to manage multiple, concurrent high priority projects in a time-pressured environment.
  • Demonstrated understanding and ability to explain University policy to others, detailed knowledge of financial aid regulations.
  • Knowledge of multiple financial aid systems, document management systems, and window based environment and office applications.
  • Demonstrated analytical and quantitative skills, good judgment. Physical Requirements

  • Frequently perform desk based computer tasks, seated work and use light/ fine grasping.
  • Occasionally lift, carry, push pull objects that weigh up to 10 pounds.
