Clinical Coordinator

The Clinical Coordinator provides support for the Director and Counseling staff members by assisting with the daily operational and functional activities necessary to sustain the mission of Counseling and Psychological Services. Responsibilities include, but are not limited to, the following: client and clinician scheduling, management of incoming phone calls, maintenance of client records and center business files, working knowledge of college sponsored insurance, ability to troubleshoot insurance issues with students and parents, maintenance of outside referrals and follow up, oversight for Center supply orders and office equipment. The Coordinator is the initial point of contact for students, parents and other members of the EC community, so it is imperative that s/he projects a professional, caring and welcoming atmosphere.

Preferred/Desirable Knowledge:
B.A. degree Strong computer skills. Needs to learn Titanium Schedule software.

Required Prior Work Experience:
2 years experience in an outpatient office setting, Emergency Department or clinician’s office or experience as administrative support for an office providing services to students in a higher education setting.

Job Duties:
  • CLINICAL SUPPORT Manage incoming phone calls and on-site requests for appropriate appointment or clinical referral. Greet student Walk-ins and determine level of service needed, requiring a high level of judgment and sensitivity. Make referrals to clinicians for Triage as needed. In emergency situations, contact Campus Police and coordinate emergency response. Direct students to self care resources, including brochures, pamphlets, books and Counseling website. Manage reception room/ check-in and notify clinicians of conflicts/ delays. Provide information about accessing Counseling services to students, parents, and EC staff. Maintain confidentiality & privacy policies and explain protocols to students, parents, guardians and staff. Ensure confidentiality of all office records and activity of the Counseling Center.
  • OFFICE MANAGEMENT Schedule student and clinician appointments for six clinicians, four interns and one consulting psychiatrist. Greet students and other center visitors. Verify student eligibility and insurance status. Update schedule and inform clinicians of add on, cancellations/ late arrivals and no shows in a timely manner. Confirm appointments one business day prior to appointment. Review and relay all phone messages and emails to Counseling email, fax documents or electronic transmissions into record or to clinician in a timely manner. Scan paper documents into client records. Order and maintain office materials, forms and supplies. Process consultant payroll, expense forms and purchase requisitions.
  • ADMINISTRATIVE Learn and develop fluency with Titanium Schedule (Counseling scheduling and record keeping program.) Establish working relationships with internal support departments and off-campus clinical providers. Prepare monthly reports, budget documents and special projects as directed. Compile semester and year-end reports of all client data reported by clinicians. Participate in staff meetings and departmental/ divisional retreats. Prepare and send written correspondence. Provide technical assistance and coordinate with IT. Maintain and update Counseling Center website. Create and update database of referral resources of off campus mental health providers. Maintain Self Help resources including brochures, handouts. Maintain the Counseling Center library. Administrative responsibilities for the department as needed, including copying, filing etc.
