Occupational Summary


Provide administrative and financial management and coordination of various business related functions including finance, budget, effort reporting, space and facilities planning, and policy interpretation in the Department of Pathology, Duke School of Medicine. This role will supervise business/administrative staff and processes.

Work Performed

Primarily provide leadership for the financial management of the department by acting as the Finance Director for the department.
Participate in planning departmental budget needs by analyzing program plans on both a short and long term basis including confer with administration and faculty to analyze and recommend priorities and goals for future department needs.

Participate with the planning and creation of budgets for the Department of Pathology School of Medicine and PDC. Provide monthly analysis for variances and project possible levels of support from multiple sources of funding. Monitor trends of revenue and expenses. Prepare financial statements reflecting status of programs and activities; ensure compliance with University policies and procedures. Oversee management of the autopsy division accounting activities. Manage the monthly FAM validation process performed by the financial analyst to ensure timely reporting and to meet deadlines. Provide accounting and analysis for Shared Core Resources within the department.

Work closely with the PRMO revenue manager to ensure professional billing and collection issues are investigated and resolved appropriately. Assist in analyzing and preparing monthly reports for senior leadership meetings. Interact with IT systems support group (Beaker Team) to assist when needed for business operations.

Supervise the effort reporting of the faculty through the ERCT system. Work with faculty and staff to be a resource for questions and provide training as needed.

Coordinate the space and facilities management for the department personnel to have adequate space and facilities optimized. Activities will include purchasing, maintenance, construction and renovation; administer a program of property management and accountability. Maintain liaison with all levels of administration, faculty and outside organizations.

Supervise and coordinate work of designated employees in the department including business office staff and administrative support staff. Provide leadership as well as training and mentoring to develop staff. Represent department head in meetings and conferences and other affairs of an administrative or financial nature.
Perform other related duties incidental to the work described herein.

Education

Work requires a Bachelor's degree in Business Administration, Accounting or a closely related field.

Experience

Work requires a minimum of eight years progressively responsible experience in administrative management, to include proficiency in budgeting, grants and contracts, personnel supervision and space and facilities management. A Master's degree in Business Administration, Hospital Administration, Accounting or a closely related field may substitute for two years of required experience. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferences:

Healthcare financial management, budgeting and analysis, revenue cycle management.

Knowledge and proficiency in systems such as SAP, dFacto, Business Warehouse.

*Advanced Excel skills utilizing pivot tables and analytical functions.
