This position reports directly to the Day Shift Custodial Services Program Supervisor. It is responsible for every aspect of running an administrative office that serves 491 custodians and 29 supervisors. The position will manage the Custodial Services Department administrative duties and functions. The incumbent must be an expert in the use of FP&M?s (Facilities Planning and Management) computerized facilities management software, electronic mail, word processing, excel spreadsheets, and database system software, in order to maintain computer databases of the Custodial maintenance and work orders systems.
This is a very demanding position with significant responsibility. The incumbent must interact with a very diverse population of personnel. The incumbent must locate and utilize a myriad of resources both on campus to successfully translate and/or interpret in order to complete necessary paperwork and documentation, understand customer needs and carry out all aspects of the job duties. The incumbent will serve as back up in completing recruitment responsibilities, including completing numerous administrative, legal and procedural steps for the non-English speaking prospective applicants. The incumbent must use personal initiative and sound judgment to anticipate and solve numerous complicated and frustrating problems. This position requires creativity, patience, initiative and sound judgment.
Responsibilities include, but are not limited to, the following:
- Maintain a close liaison with custodial supervisors
- Develop and maintain process to track gross square footage of departmental facilities
- Analyze personnel data and prepare reports
- Write and review ?ready for signature? correspondence and other official documents
- Resolve questions and respond to customer and employee requests and complaints
- Maintain the custodial employee (MS Excel) spreadsheet
- Maintain the custodial building/staffing square footage (MS Excel) spreadsheet
