Position Summary

This position serves as an executive staff assistant for the Director’s office of Michigan State University AgBio Research(MABR) and the Associate Dean for Research in the College of Agriculture and Natural Resources (CANR).  This position fulfills a wide variety of responsibilities that require professional judgment, independent decision-making, and professional experience in order to represent MABR and CANR to multiple high-level internal and external stakeholders as well as community, industry, state and federal government leaders. Essential to the success of this position is the ability to develop and maintain positive and professional relationships with executive leadership including the MABR administrative team, MSU Extension, CANR Dean/Associate/Assistant Deans, Department Chairs, Vice-President for Research and Graduate Studies (VPRGS), other university officials, government, internal and external partners. An important element of this position is acting as a liaison between the Director’s Office of MSU AgBio Research and all of the above mentioned units and individuals in order to provide information and feedback.

Responsibilities also include: Screening requests for meetings and managing a complex and very tight calendar with independent ability to  prioritize or cancel appointments to facilitate physical presence across campus, in the state of Michigan, nationally and globally; interprets, summarizes and relays sensitive information or materials in order to keep the Director’s office well informed; researches for relevant information, drafts and distributes agendas, correspondence and other documents; assists Director’s office and Associate Dean with college space management responsibilities;  assist booking and processing Director’s travel and reimbursements; leading or assisting in the planning of various events, meetings, and strategic leadership retreats; and in conjunction with other administrative staff, provides other office support functions to include staff travel and reimbursements, orders, payroll, student employment; will provide backup support as needed.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with course work in word processing, typing, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, scheduling, travel arrangements and reimbursements or an equivalent combination of education and experience. 

Desired Qualifications

Experience in working with complex, administrative calendars, scheduling and capability to interact using professional judgement with high level internal and external stakeholders with attention to deadlines, accuracy and commitment to quality and customer service is essential.
