Position Summary

The Dean's office at International Studies and Programs is searching for a Secretary II to provide general clerical, secretarial, and reception support to ensure the smooth and efficient operations of the office. Essential Duties & Responsibilities include serve as first point of contact for the ISP Dean’s Office and support general office functions, including but not limited to: greeting and assisting visitors, providing answers to general inquiries, answering telephone calls and routing as appropriate, assisting with maintaining cleanliness of office and kitchenette; sort and distribute incoming mail; assist with maintaining the international traveler database; coordinate and schedule the use conference rooms, classroom, and lobby space; occasional assistance with room set-up/breakdown; coordinate calendars for ISP deans as requested; coordinate the Global Focus process, assist the photo selection committee, and work with IPF on photo placement and maintaining photo placement database; provide administrative support for International Awards Ceremony and coordinate event logistics; assist with ISP Scholarship process; provide assistance with various human resource functions including but not limited to: scheduling interviews and search committee meetings, and maintaining time-sheets and bi-weekly payroll related forms; assist with monitoring ISP Dean’s office account activity and reconciliations; prepare and submit finance eDocs as needed.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, desktop publishing, calendaring and/or presentation software; typing and filing; or an equivalent combination of education and experience.

Desired Qualifications

Proficiency with Microsoft Office applications including Word, Excel, and Outlook; ability to provide exceptional customer service using strong interpersonal skills; excellent written and verbal communication skills; ability to maintain confidentiality; ability to work independently and manage multiple tasks simultaneously with frequent interruptions; knowledge of general University policies and procedures.
