Coordinator, Finance Administration and University Business Travel

Job Description Summary:
Provide administrative assistance and clerical support to AVP of Finance and the departmental managers for the Office of Financial and Business Services. Direct and administer the University's travel services and system.

Specific Duties:

Composition and transcription of correspondence, Preparation of presentation materials. Maintain calendars of meeting schedules, conferences, and appointments. Provide support for Board of Trustee Committees. Coordinate departmental office and technology supply needs. Assist in managing the departmental supply budget. Maintain departmental filing systems. Receive and distribute departmental mail and deliveries. Manage and coordinate tracking and approvals of University contracts. Maintain records for all University owned vehicles. Prepare, distribute, and track Conflict of Interest forms for Key employees. Maintain,track,and collect cash advances for University personnel. Assist with design and maintenance of departmental web pages. Direct and administer the University’s travel program which includes training of University community members, coordinate billing processes, manage travel disputes, complex travel arrangements, and travel related emergencies.

Minimum Qualifications:

Minimum of Associates Degree (AA). 5 years of administrative assistance experience in large office environment. Proficient in Microsoft Office Suite programs.

Preferred Qualifications:
Adept at learning various computer software. Self motivated and detail oriented. Excellent people skills. Strong written and verbal communication skills.
