Overview

  Position Information  

This is a full-time (1.0 time-base), benefits eligible, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

The Department Coordinator reports directly to the Department Chair and provides administrative support by assisting the Department Chair with departmental budget and office services such as personnel records, reports (including those required for accreditation reviews), and special management studies. Furthermore, the Department Coordinator is the point of contact for curriculum and catalog changes for the ME department, verifies requirements, writes offer letters, and employment description of duties for Instructional Student Assistants, manages and purchases items in the department, processes reimbursements and travel for Mechanical Engineering student organizations receiving Student Success Fee Funds, coordinates Mechanical Engineering faculty and advisory committee meetings (including scheduling, parking, emailing detailed directions, setting up room, providing meeting handouts, purchasing light refreshments, making arrangements for lunch/luncheon, preparing and distributing minutes). The Coordinator is responsible for handling the interactions with facility services when problems arise with departmental facilities. The Coordinator also supervises and trains the Administrative Support Assistant for advising undergraduate students on their master plans, managing linkedin pages and alumni contacts, publishing and distributing departmental newsletters, and providing office services such as maintaining records of students, syllabus, and managing office times.   Compensation and Benefits  

Starting salary upon appointment not expected to exceed $3,333 per month. CSU Classification Salary Range: $3,115 - $5,060 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

  Qualifications  

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications and Specialized Skills

  • Proficiency in using MS Office (Excel, PowerPoint & Word) and database software.

  • Experience in the use of general office equipment and office support technology and systems including: word processing, spreadsheets, on-line systems to enter data and generate reports, maintaining desktop database, and use of electronic voicemail.

  • Experience maintaining and balancing budgets, and successfully completing projects that require basic business math. 

  • Experience working in a higher education or public sector setting.

  • Experience developing, updating, and managing large budget spreadsheets, charts, and graphs.

  • Lead and/or supervisory experience.

  • Experience working with diverse student populations in a university setting.

  • Purchasing experience.

  • Experience updating websites.

  • Experience coordinating events.

  • Experience working in academic setting.

  • Strong organizational, written, and oral communication skills.

  • Ability to use and quickly learn new office support technology systems and software packages (Astra, Blackboard, Oracle, SIMSR, and WebPortal)

  • Familiarity with operation of all office equipment.

  • Ability to interact professionally and courteously with individuals at all levels.

  • Ability to exercise good judgement while maintaining confidentiality, integrity, and discretion in the performance of all duties.

  • Ability to perform basic business math as required to maintain and balance department budget and create spreadsheets.
