Clark University’s Dean of Students Office seeks an energetic, action-oriented team member to fill the position of Executive Assistant to assist with managing the daily office functions and projects related to enabling student success. Reporting to the Assistant Provost and Dean of Students, who serves as the chief student affairs officer, the successful candidate will organize work within the reception area to respond to inquiries from students and their families, staff, faculty, and outside entities, and triage student concerns. In addition, the Executive Assistant will coordinate student data needs for the office, support events planning and execution, communicate with campus-wide constituents, manage the calendars of the (4) deans, and maintain budget operations for the units of the Dean of Students. Duties and Responsibilities In addition to other responsibilities, the Executive Assistant will direct calls, mail, appointments, and visitors to the staff in the office. The Executive Assistant will arrange meetings and travel schedules for the dean, one associate dean, and two assistant deans; supervise undergraduate and graduate student workers and their projects in the office and prepare correspondence and reports. In addition, the Executive Assistant will assist in managing approximately five budget areas in the Dean of Students unit, including processing travel reimbursements, requisitions, and purchase orders; will organize and maintain office files; track trends of student needs and assist in gathering student data and developing reports. The Executive Assistant will also maintain and update database of student leaves and facilitate appropriate communication; assist with the execution of events managed by the Dean of Students Office; and perform other duties as assigned. Qualifications The successful candidate will have 3-5+ years’ office experience that includes responding to a variety of concerns and issues from various constituents, managing sensitive information, and creating reports and budgeting. The candidate will have excellent communication, organizational and planning skills, as well as outstanding interpersonal skills and a high level of initiative, diplomacy, and professionalism. A bachelor’s degree and knowledge of college-age students is strongly preferred. The ideal candidate will have the ability to apply discretion and judgement for responding to the needs of clients and office professionals while maintaining a positive demeanor, and the ability to juggle multiple tasks while meeting deadlines. Technical qualifications include a strong knowledge of data entry and experience working with Microsoft Office Suite. This is a full-time, 37.5 hours per week, 12-month non-exempt position with a starting hourly rate between $16.08 and $17.08, depending on experience.
