Job Summary:

Provides complex administrative support for the Associate Dean for Public Health and IT Team. This position reports directly to the Director of IT Shared Services. The incumbent will use a good working knowledge of the UW School of Medicine and Public Health (SMPH) and UW-Madison policies and procedures to provide a broad range of administrative assistance required to meet departmental and SMPH operational goals. The incumbent will serve as the first point of contact over the phone and in person for visitors to the Associate Dean for Public Health?s office, and represents the SMPH in a professional and courteous way in all contacts. The incumbent will use a thorough understanding of the activities and responsibilities of the positions they support to independently direct inquiries and determine appropriate responses. By its nature and location, this position is privy to confidential records and conversations that directly affect the employer-employee relationship referred to in s.111.81(15) Wis.Stats. and include management activities and decisions that directly affect classified and unclassified staff. The positions/functions it supports are directly related to management policies, decisions, alterative courses of action and strategies that affect employees in the School, contract administration as well as salary decisions for staff.

In addition to providing support to the Associate Dean for Public Health, this position acts as the Administrative Assistant to the School of Medicine and Public Health (SMPH) IT Team and assumes key administrative specialist roles in a wide assortment of activities serving the SMPH IT team. This position performs a variety of paraprofessional functions to ensure day-to-day operations are in compliance with University policies and procedures, State and Federal policies, as well as the policies of UW Health and UW Medical Foundation. The individual in this position is expected to exercise significant independent initiative, use of high degree of judgment, and exercise a high level of administrative, problem solving, and analytical ability. This position requires excellent management and administrative skills, and exemplary oral and written communication skills and human relations skills are essential. The incumbent will independently support the SMPH IT Team and work effectively, efficiently and, as necessary, diplomatically with a wide range of people across SMPH, UW Health and the UW campus.

This position requires strong, demonstrated organizational and communication skills, the ability to monitor and coordinate sensitive and confidential matters, coordinate multiple tasks, and the ability to interact effectively with faculty, students, staff, and the general public.

Schedule Comment:

Our standard hours are 7:45 am to 4:30 pm. The exact schedule can be flexible and will be determined at the time of hire.

FTE will be between .8 and 1.0, to be determined upon hire.
