Hofstra University’s Office of the Provost and Senior Vice President for Academic Affairs seeks to fill an anticipated opening for an Executive Assistant to the Provost and Senior Vice President for Academic Affairs.

Description: Provide high-level administrative support to the Provost. Serve as a confidential assistant to the Provost. Work as a member of a team with the Provost and senior academic administrators (Vice Provosts, Deans, etc.). to determine goals and outcomes on a variety of issues to develop implement procedures and/or policies. Identify and prioritize workflow; review work for accuracy and ensure adherence to deadlines. Draft routine and confidential correspondence. Interact and communicate with all levels of University personnel and external contacts. Coordinate travel for the Provost and senior staff in the Office of the Provost
 

Research and provide the Provost with comprehensive background information on a variety of issues requiring responses, including sensitive/confidential inquiries. Manage staff responsible for the Provost’s calendar. Oversee and manage the reappointment, promotion, and tenure processes. Manage the Provost’s participation in University Senate and governance matters

Ensure arrangements are made for meetings and develop agendas. Select and supervise the compilation of materials for meetings, appointments, and special events. Coordinate the planning and execution of ceremonial occasions and events sponsored by the Provost. Support the development and execution of special projects.

Qualifications: Bachelor’s degree and at least 8 years of progressively-responsible experience in an academic setting, preferably in association with an academic department or within Academic Affairs. Skilled in MS Office Suite and Banner or similar database program. Ability to handle sensitive information with absolute discretion. Strong interpersonal skills and ability to communicate effectively. Demonstrated ability to exercise good judgment and to prioritize tasks. Familiarity with a broad variety of academic departments and programs; international program experience a plus.
