About the Office: Summer Session is Stanford's fourth academic quarter, offering approximately 175 courses from 35 departments to over 2,500 graduate, undergraduate, and advanced high school students. Along with serving the needs of Stanford students, Summer Session makes it possible for visiting students to take advantage of the same courses and resources. Summer Session operates various programs during the summer, including High School Summer College, Stanford Horizon Scholars Program, International Honors Program, Silicon Valley Innovation Academy, Stanford Summer Academic Resource Center, etc., providing academic opportunities and support to our summer student population.

JOB PURPOSE Reporting to the Associate Director of Student Services, the Student Services and Operations Coordinator (Student Services Officer 1) will assist in making first-level decisions on issues regarding admission, financial aid, housing, registrar services, visa services, student life, advising, career counseling and academic services. The Coordinator will resolve routine issues within the unit using defined policies and practices and professional knowledge as reference. The position carries significant responsibility for processing the department's regular and seasonal financial transactions. In addition, the Coordinator is responsible for supervision of front-facing staff and serves as an escalation point for student services staff with students, parents/guardians, and recommenders. The ideal candidate will be able to work under minimal supervision and must be highly organized, detail oriented, and able to multi-task with ease.

CORE DUTIES*
  • Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., in order to assist them in making appropriate choices and decisions.
  • Manage the day-to-day work of the student services team
  • Serve as the primary point of escalation for all student services and customer relations related matters
  • Collaborate with other staff, faculty and other offices to resolve complex issues.
  • Assist with the administration of financial processes.
  • Process financial transactions
  • Process travel reimbursements
  • Create and monitor Purchase Orders
  • Serve as Approver of financial transactions
  • Assist with financial training of new staff to include professional staff as well as summer residential staff
  • Manage the day-to-day work of the financial administrative team
  • Review and administer student records, analyze data, and make recommendations that require interpretation and influence decisions on routine issues.
  • Manage work flow of the Summer Session Student Services processes including but not limited to: Student application, financial aid, and enrollment processing
  • Serve as a subject matter resource to other departments and represent the unit/department.
  • Oversee housing and dining operations, housing assignments, student activities, online learning environments and serve as the primary office contact for Student Services-related vendors and collaborators
  • Participate as a member of a project team.
  • Assist with human resource support related to 70+ seasonal hirings
  • Regular collaboration requiring the ability to be a team member as well as the project lead
  • Directly supervise and train permanent and seasonal student services staff members.
  • May contribute to developing and analyzing review process of offerings, policies and programs.
  • May collect and analyze data from multiple sources and prepare reports. Contribute to identifying trends and needs analysis, and participate in the implementation and testing of technology.
  • Create reports from the back end of the application, enrollment, and financial systems and interpret data for future growth
  • May contribute to development of marketing materials and strategies, assist in planning and developing programming activities, outreach functions. * - Other duties may also be assigned


    MINIMUM REQUIREMENTS:


    Education & Experience: Bachelor's degree and one year of relevant experience, or combination of education and relevant experience.

    Knowledge, Skills and Abilities:

  • Strong written and verbal communication skills.

  • Basic computer skills, including experience with Microsoft Office Suite, particularly Excel.

  • Basic analysis and problem solving skills.

  • Strong customer service skills.
  • Relevant computer systems/technology experience.

  • Understanding of financial transactions.

  • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.

  • Experience with Oracle and Report Mart 3 preferred.

    Certifications and Licenses:

    None PHYSICAL REQUIREMENTS *

  • Frequently sit, perform desk-based computer tasks.
