The Student Life Office of the MBA Program at the Stanford Graduate School of Business strives to create conditions in which every student can thrive. We seek an experienced and empathetic department assistant who enjoys helping students, fielding questions, planning events, and handling detail-oriented work with a positive attitude and professional grace. The central mission of this role is to provide a broad range of support for the services, activities, and staff of the Student Life. This involves providing front-line customer service to students and staff colleagues, handling most initial inquiries to the office, maintaining website content, preparing academic performance communications, supporting student-led event registrations, and mastering a robust student affairs knowledgebase that includes the MBA Program, the Graduate School of Business (GSB), and resources throughout Stanford University. This position is responsible for dozens of small-scale events and plans or contributes to several larger annual programs such as Start of School (new student arrival and orientation), the Student Activities Fair, Academic Recognition Reception, Student Appreciation Breakfasts, New Leader Orientation, and the GSB Graduation Ceremony. This position has constant interaction with the MBA student population, works with student event planners, and collaborates with all members of the team on day-to-day Student Life responsibilities.

The ideal candidate will have a good sense of humor and a sharp mind, be comfortable with interruptions, have a growth mindset and be exceptionally well organized. Candidates who have experience in higher education doing front-line student or alumni services, event planning, and student activities will be highly valued. As a fully engaged member of Student Life team and MBA Program, this team member is expected to participate in and support department initiatives and major annual student activities and assume Student Life special projects as needed.

JOB PURPOSE: Provide administrative and operational support to faculty, staff, and students on issues regarding admission, financial aid, housing, registrar services, visa services, student life, advising, career counseling and academic services. Resolve routine issues of limited scope within own work area using general guidelines and standards or precedents as reference.

  • Review documents and forms for completeness, track files for follow up and distribute for review.
  • Research and resolve routine issues, refer complex issues to other staff.
  • Input data, update electronic databases, web sites, literature, and associated materials. May collect, gather and validate data, prepare basic reports.
  • Coordinate logistics for outreach activities, meetings, and events.
  • Respond to routine inquiries from students, faculty, external constituents, and staff.
  • Serve as a subject matter resource to students and other departments.
  • Contribute to general office administration and process improvements.
  • May train and direct day to day activities of student and temporary workers. * Other duties may also be assigned


    Education & Experience:

    Associates degree required and one year of relevant experience, or combination of education and relevant experience. Bachelor's Degree preferred.

    Knowledge, Skills and Abilities:

  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite required. Experience with Google Apps preferred.
  • Customer service skills.
  • Basic office administration skills.
  • Ability to learn compliance with legal, financial, and university policies and external regulations. Certifications and Licenses:

  • Frequently sit, perform desk-based computer tasks.
  • Frequently stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork.
