I. JOB OVERVIEW

Job Description Summary:

The George Washington University, Columbian College of Arts and Sciences (CCAS), Department of Romance, German & Slavic Languages & Literatures fosters critical thinking, reading, speaking, and writing within and across cultures and histories. Beyond our degree and minor programs, the department offers dozens of language, culture, and literature courses in French, German, Italian, Portuguese, Russian, and Spanish to hundreds of students every semester. Most of the courses are taught in the original language; some are in English.
RGSLL is seeking a Senior Office Assistant to work with the Department Manager to support the office in the following:
• Provide general support in execution of office operations which involves duties such as filing, scheduling meeting space, preparation of meeting materials, assists with departmental events (graduation reception, search receptions, etc.)
• Manage the schedules for the Learning Practice Partners (tutors), monitor attendance of both tutors and students, prepare data reports for faculty and staff on various tutoring performance outcomes for analytical review as requested
• Research and provide data reports from DataMart at the request of the Office Manager and faculty
• Responsible for the promotion of the department via CCAS news agencies and social media
• Responsible for department reimbursements via Concur under the supervision of the Office Manager
• Prepare Scheduling forms at the request of the Office Manager
• Serve as trouble-shooter in solving routine administrative or procedural problems with other departments as assigned
• Maintain policy and decision files, regulations, historical files and similar documentation applicable to the programs administered
• Provide support for various administrative tasks, which include assisting faculty and staff with special projects
• Monitor and handle maintenance related issue for the department and prepare Fixit requests
• Receive and distribute incoming mail and packages; aid faculty in sending mail and shipments
• Order Supplies and maintain office supply inventory
• Plan work distribution for peak periods and train temporary employees and student workers to provide quality customer service to office visitors: assist students with general questions about registration, office hours, credit transfers, major declaration, course pre-requisites and other inquiries as they arise
• Serve as receptionist, greet and refer calls, respond to inquiries from students, University staff, sponsors or the general public with an extensive knowledge of departmental programs and courses
• Responsible for monitoring the departmental general email and voicemail accounts and forwarding messages to the appropriate party for reply in a timely manner
• Perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position

Minimum Qualifications:

High school diploma/GED, or equivalent combination of training and experience, is necessary plus 1.5 years of relevant experience, or a bachelor's degree.

• Ability to be a self-starter and work independently
• Good customer service skills
• Prior experience in a higher education institution
• One year of general office secretarial or clerical experience
