Administrative Assistant, Major Giving

Provide administrative support to the Associate Vice President of Major Gifts (MG) and the MG team in the Office of Institutional Advancement. Assist with making travel arrangements, and handling other budget-related activities. Assist in organizing and maintaining electronic files. Manage work-study students. Provide support for meetings and events. Assist with on-boarding new employees. Assist in scheduling meetings and appointments, when needed, and greeting visitors to the office.
This is a bargaining unit position. In this position, you will be exclusively represented by the Service Employees International Union, Local 888 for purposes of wages, hours and other terms and conditions of employment.

Campus Location: Boston Campus

Required Knowledge:
•Self-starter with helpful personality and excellent interpersonal skills.
•Detail oriented with strong organizational, writing and computer skills.
•Ability to prioritize and work in a fast-paced office.
•Facility with both MAC and PC computer platforms.
•Knowledge of Microsoft Word and Excel.
•Familiarity with databases.
•Understanding and compliance with donor confidentiality requirements.
•Bachelor’s Degree.

Preferred/Desirable Knowledge:
•Familiarity with PowerPoint.

Required Prior Work Experience:
•Three or more years of office/administrative experience, which may include supporting staff, office management, and/or customer service.

Job Duties:
  • •Report to the AVP of Major Gifts as administrative support for the MG team: making travel arrangements, and processing expense reports, time sheets, purchase orders, and tracking budgets.
  • •Assists in organizing and maintaining a shared electronic filing system.
  • •Provide support for MG meetings and events, including scheduling.
  • •Manage one or more work-study students for MG team.
  • •Assist with on-boarding of new MG employees.
  • •Assist in scheduling appointments, when needed, and greeting visitors to office.
  • •Serve as primary on-campus contact for MG staff who are traveling for business.
