UC Riverside BEES Administrative Department seeks a financial and purchasing assistant to provide complex procurement leadership and financial support to faculty, staff, and students of the Botanic Gardens, Earth Sciences Department, Environmental Sciences Department, CNAS Graduate Advising Center, and CNAS Undergraduate Academic Advising Center. Our departments and centers reside within the College of Natural and Agricultural Sciences and offer both undergraduate and graduate programs in Earth Sciences and Environmental Sciences. BEES provides business services to over 30 faculty and over 100 graduate students, post docs and research staff working within and across the disciplines related to Earth's Dynamic nature and history, geological processes operating at a wide range of spatial and temporal scales, soil sciences, aquatic sciences, microbial ecology, atmospheric sciences, and environmental policy. You will perform duties to include purchasing, travel and entertainment reimbursement, and miscellaneous duties to include but not limited to evaluating procurement and reimbursement processes, systems, and applications to improve processing efficiency and eliminate redundancy, establish and maintain a professional and cooperative working environment, arrange for maintenance of office equipment, maintaining good communication with customers, vendors, and your supervisor, with other duties as assigned. 1.Associates degree in a related field, and two years recent experience performing administrative, purchasing, and accounting functions, or an equivalent combination of education and experience. Knowledge of purchasing related generally accepted accounting principles and fund accounting.
2.Ability to work independently with minimal direction; skill in prioritizing assignments to complete work in a timely, organized, and accurate manner under the pressures of deadlines, interruptions, distractions, and competing priorities and requirements.
3.Skill in utilizing a personal computer and office software applications such as Microsoft Excel, Word, and Outlook and demonstrated experience in accessing and retrieving data from on-line applications, purchasing, and financial systems; skill in maintaining accurate records with strict attention to detail.
4.Experience scheduling complex meeting logistics and travel arrangements with attendees from multiple offices/locations; and experience interpreting, applying, and explaining policies and procedures related to travel, entertainment, general purchasing, and accounting.
5.Ability to communicate effectively and work cooperatively with faculty, staff, students, other UCR departments, and off-campus agencies and vendors; demonstrated negotiation skills; ability to maintain confidentiality as needed.
6.Ability to research and analyze information to formulate and implement solutions to problems.
1. Knowledge of University structure, organization, and key administrative staff.
2. Demonstrated experience using UCR on-line purchasing system - EBuy.
3. Knowledge of University of California policies and procedures.
4. Familiarity with UCR Financial System journal entries such as encumbrance releases.
