Oversee the School of Music operations and provide extensive support in the development and cultivation of external relations within the community, with peers in higher education and with alumni. Serve as liaison between the dean, other administrators, faculty, students, staff and external contacts. Conduct research, compile data, and prepare comprehensive analyses and reports. Identify and develop opportunities for performances and other events at national venues and regional sites, oversee planning for faculty and student tours, designated special events and projects, and specialized performances. Manage the concert production operations, participate in the management of the School's non-salary operating budgets, and represent the Dean and/or Associate Dean at various meetings.
Position/Job Responsibilities
1. Promote the professional image of the School of Music and conserve the dean's time by providing effective liaison between the dean, other administrators, faculty, students, staff and external contacts.

2. Compile data and prepare the NASM HEADS report; prepare a variety of reports and analyses reflecting progress and trends related to school operations.

3. Manage concert production operations ensuring coordination and alignment of activities, logistics, and technology support for concerts within the School of Music and remote locations (Lincoln Center concerts).

4. Facilitate interactions with the Dean and the concert production team; schedule regular meetings to include department chairs; plan agendas and notate important agreements.

5. Oversee the management and use of the School of Music facilities. Work with the Manager of Concerts, Facilities, and Educational Outreach Programs regarding maintenance needs and proper usage.

6. Participate in preparation and management of the school non-salary operating budget(s); oversee and monitor the processing and reconciliation of expenses. Approve purchases and processing of purchasing transactions and payments. Maintain budget records and track financial commitments for specific events, programs, and/or activities. Ensure that decisions made are fiscally sound and in line with financial targets and goals. Work in collaboration with the Associate Dean in forming a budgetary support team to assist the Dean in aligning resources with stated mission and priorities.

7. Manage the advance grant process to support faculty endeavors.

8. Serve on committees and represent the Dean, as appropriate and as directed, at departmental, committee or planning meetings.

9. Develop, cultivate and maintain relationships with the School of Music alumni, students and parents, prospective and current students and parents, potential and current donors and other constituents in support of the Dean

10. Oversee, on behalf of the Dean, staff searches to include organizing search committees and working with search committee chairs; serve as contact for Human Resources.

11. Assist in maintaining the college's database of alumni and donors, and assist the Dean in providing background information on students, alumni, and donors and work with external constituencies such as community groups on collaborative projects.

12. Serve as a School of Music liaison to the community; seek performance opportunities for Ithaca College students that are also beneficial to the partner organization; establish community concert series at select venues. Work with the Marketing and Communications Manager to publicize community partnerships.

13. Coordinate School outreach activities such as the Public School Partnerships.

14. Coordinate remote School of Music operations including the London Center and ICNYC programs.

15. Plan and coordinate faculty and student tours; identify opportunities for faculty and student performances at state and national venues and other events; participate in establishing student-learning outcomes related to touring and evaluate success.

16. Serve as the liaison to alumni affairs including the Friends of Ithaca College. Work with alumni affairs to organize Fall Splash, Founders Day Concert, Annual Holiday Dinner, Spring Pops event, and School of Music Reunions. Organize alumni event at NYSSMA winter conference. Coordinate alumni correspondence, including mass email with alumni affairs.

17. Provide support for grant development; research potential funding sources; serve as liaison with the Institutional Advancement Development office.

18. Support the Dean of the School of Music related to fundraising activities.

19. Coordinate all communication regarding endowed scholarships; confer with the Admission Director and the Dean to determine the actual award decisions and prepare correspondence with donors and student scholarship recipients.

20. Organize the annual Dean's list reception and honors convocation and oversee logistics.
Position/Job Qualifications
Bachelor's degree and a minimum of 3 years experience managing special events, fund development, and community relations or the equivalent combination of education and experience; previous supervisory experience; strong organizational and project management skills; strong written and verbal communications skills and proven ability to work with a diversity of individuals and groups across departments and schools are required.
