The School of Education is accepting applications for a Human Resources and Payroll Coordinator to provide support services for Human Resource and payroll functions within the School. This position uses a high degree of independent discretion and decision-making in handling situations that often involve the need to exercise a high level of confidentiality.

Key Responsibilities

The HR & Payroll Coordinator will be the primary contact and communicator for:

Graduate Student RA, GA, TA and GPTI appointments, student hourly and temporary hourly employees for SOE and BUENO Center (40%)

  • Communicate policies and processes with faculty, gathering appointment information each semester for student GRA appointments, student hourly employees and hourly temporary employees
  • Confirm funding availability with the budget office for all appointments
  • Draft offer letters, route for signature via docusign and track outstanding letters
  • Manage and track hiring and onboarding processes including all required paperwork, I9, direct deposit, W2, informing employees of applicable SOE, Grad School and University policies, ensuring employees are notified of required trainings)
  • Handle position management (including creating positions, setting up funding distribution, and updating position/job data as needed)
  • Confirm and track student work study awards
  • Determine and apply tuition remission to Graduate student accounts
  • Manage biweekly payroll for hourly student and temporary employees (including ensuring employee hours are entered in My.Leaveand uploaded to CU Time accurately, handling discrepancies when they arise and entering hours into offycle, when necessary);
  • Determine which appointments need to be terminated or reappointed at the end of each semester
  • Regularly run payroll registers and speedtype reports to check for accuracy and errors
  • Resolve payroll and funding issues as they arise



Adjunct Lecturers for SOE and BUENO Center (20%)

  • Coordinate with the Associate Dean of Teacher Education, the Directors of Clinical Experiences and the BUENO Center to identify and hire 15-30 adjunct lecturers and student teacher supervisors each semester, including summers,
  • Communicate with and advise faculty on policies and processes related to adjunct lecturers
  • Enter and track B1 and B2 course proposals for BUENO
  • Set up Graduate Faculty Appointments for all adjunct faculty, gathering required paperwork, submitting form to Graduate School and updating GFA database.
  • Draft offer letters, route for signature via docusign and track outstanding letters
  • Manage and track hiring and onboarding processes including all required paperwork, Faculty oath, I9, direct deposit, W2, informing employees of applicable SOE, Grad School and University policies, ensuring employees are notified of required trainings)
  • Handle position management (including creating positions, setting up funding distribution, and updating position/job data as needed)
  • Determine which appointments need to be terminated or reappointed at the end of each semester
  • Regularly run payroll registers and speedtype reports to check for accuracy and errors
  • Resolve payroll and funding issues as they arise, working in coordination with the budget office and employee services as needed.



Leave and Payroll Management (20%)

  • Instruct and train employees how to complete timesheets in MyLeave, Send regular email reminders and enforce submission deadlines for timesheets, track and upload biweekly and monthly time collection in CU Time, answer technical questions, troubleshoot and resolve MyLeave issues, confirms leave balances are correct throughout the year, manages the leave verification process, enters adjustments to leave balances as needed, processes vacation payouts on employee separation and stays up to date with changes in the state and campus policy and procedures through attendance at PPL meetings and HR seminars/trainings.
  • Monitor employee payroll, run bi-weekly, monthly and off-cycle payroll reports, investigate and resolve payroll errors, change funding distribution, request additional pay when appropriate, submit overpayment forms and Hand Drawn Warrant requests when necessary
  • In conjunction with the Grants Budget Coordinator, verify that the selected account(s) to pay employees have sufficient funds to cover contracted salaries; monitor position funding and correct as necessary.
  • Serve as payroll liaison for undergraduate students, graduate assistant appointments
  • Serve as a backup for Additional Pay Forms (APFs), one time payments





This position will also provide professional support to SOE HR Director (20%)

  • Entering new faculty and staff appointments into HCM
  • Entering adjustments to faculty appointments, such as leaves, sabbaticals, and buyouts, short work breaks, summer salary, performing salary calculations with a high level of accuracy.
  • Compiling materials for dossiers for hiring tenured faculty or for reappointment, tenure and promotion cases for faculty
  • Creating flyers and setting up postings in ATS for faculty positions
  • Updating new employee information in the online directory and in HCM
  • Staying up to date with the rules and regulations pertaining to the hiring process in HCM and communicate to SOE
  • Work collaboratively with HR Director and Dean's office staff to identify policy and process issues, research, analyze, recommend process changes and implement best practices related to GRAs, adjunct faculty, student and hourly employees, payroll, hiring and onboarding new employees, and update corresponding manuals and forms to reflect changes in School and system policies and procedures.
  • Provide support in collecting data for annual reports and assist with special projects as they arise.
  • Additional duties may be assigned as needed

Qualifications

What We Require
- Bachelor's degree in Human Resource Management, Business Administration, Public Administration, or other related field.

Substitution: Full-time professional experience working in Human Resources and/or payroll management may substituted for the bachelor's degree on a year-for-year basis.

- Two or more years of human resources and payroll experience in a professional or university setting.

What We'd Like
- Experience in University, higher education or similar setting preferably in the University of Colorado system.

- Working knowledge and experience with the University of Colorado's ELEVATE project and the associated HCM and finance systems.
