Position Summary  
Under limited direction and on own initiative, position performs advanced administrative duties for a Vice Chancellor, a campus President, or General Counsel.  Disposes of matters of a routine nature to conserve superior’s time, maintains regular and follow up files and confidential data, collects information needed by superior for conferences/reports/meetings.  May do analysis of reports and recommend action.  On own initiative, resolves problems from multiple individuals and customers.  Handles sensitive and confidential records.  Sets own priorities and procedures for accomplishing work. 
 
Job Functions  
1.Provides a high level of confidential administrative support.

2.Maintains daily appointment calendar; makes travel arrangements as required; receives and screens telephone calls; greets visitors.

3.Collects and prepares information (may involve research) for executive review for documents, discussions and meetings with executive staff members and outside individuals and groups.

4.Composes correspondence from verbal direction or from internal/external research and knowledge of organizational policies and procedures.

5.Assists the a senior level administrator in all aspects of meetings, including but not limited to Board meetings and Committee Meetings; attends meetings and conferences, transcribes notes and distributes minutes.

6.Prepares, reviews, and distributes reports, agendas, and correspondence (some areas may involve legal documents, contracts, briefs, etc…).  Maintains current records, files, etc. of matters related to the Vice Chancellor’s or President’s Office.

7.Trains and supervises assigned staff; determines and assigns duties based on priorities; schedules work; prescribes standards and procedures.

8.Builds and monitors budget expenditures and prepares transfer requests. Responsible for maintenance of office documentation and reports.

9.Maintains adequate office supplies; orders and prepares requisitions for needed supplies; arranges equipment for repairs and maintenance.

10.May update and maintain department website.

11.Responsible for other reasonable related duties as assigned.
 
Required Qualifications  
•Bachelor’s degree and at least 3 years of related work experience, or an equivalent combination of education and experience. 
 
Salary  
Hiring Salary is $39,246.
