Title III, GPSS Administrative Coordinator

Job Description Summary:
The Title III, GPSS Administrative Coordinator will provide administrative support to the Associate Dean of Learning, Innovation, and Teaching for grant related activities. These include project implementation, record-keeping, hiring, budget monitoring, performance reporting, website development, and related project activities.

Specific Duties:

1. Work closely with the Title III GPSS Director to initiate and follow up on grant initiatives including record keeping, performance reporting, and other related activities; 2. Prepare recruiting and hiring paperwork for Title III faculty, student, and other personnel, then follow-up with HR and ORSP as needed to ensure it is processed correctly; 3. Prepare various La Verne paperwork, such as Purchase Requisitions, Check Requests, P.O. Change Forms, Travel Authorizations for program purchases and conference travel; 4. Assist in monitoring of the Title III program budget on Banner. Maintain an accurate account of all budget expenses related to the grant using Excel or other spreadsheet system or method; 5. Assist in the data collection, input, and processing of data related to the Title III GPSS grant; 6. Prepare Graphics and Catering paperwork for program workshops and assist in organizing the event; 7. Assist in the development of the website for the Title III grant; 8. Coordinate and reserve rooms for meetings and booking the necessary meeting materials, such as laptops and audio visual technology; and 9. Provide administrative support and perform other duties as needed by the Project Director.

Minimum Qualifications:

AA Degree or equivalent educational experience

2 years - Excellent administrative skills, such as thorough knowledge of MS Office Suite of software: Word, Excel and PowerPoint;

2 years - Customer service skill of the highest degree and experience working with multicultural populations;

Knowledge and Skills:
Ability to efficiently use various computer software application programs and operate audio-visual equipment; Ability to understand reporting requirements and produce accurate technical information; Proofreading and good composition, grammar, and punctuation skills

Preferred Qualifications:
HR experience or assistance with personnel issue would be most helpful.
