Job description

Duties: The Executive Assistant to the Vice Dean for Strategic Initiatives is responsible for the smooth and efficient day-to-day operations for the Vice Dean's office, performing highly complex and varied administrative duties.

S/he will provide support to the Vice Dean for major, confidential initiatives and projects including but not limited to department reviews, leadership recruitments, strategic planning, board meetings and other special projects.
The incumbent will manage complex electronic calendar, extensive meeting scheduling and event organization.

The Executive Assistant will act as the first point of contact for internal and external colleagues ensuring a welcoming and professional atmosphere; communicate in a timely and professional manner; handle inquiries and requests from external and internal constituencies.

The Executive Assistant will handle confidential material; compile and summarize data; organize and maintain electronic files; database management; compose, proofread, disseminate written materials; prepare visual and text materials including slide presentations and reports; prepare meeting minutes; organize events.

Manage internal office needs including ordering of supplies, catering and room reservations and processing purchase order requests.

The Executive Assistant will work closely with the Office of the EVP/Dean and work alongside other senior leadership and staff of the PSOM Executive Office.

Qualifications: A Bachelor's Degree and 5 to 7 years of experience or equivalent combination of education and experience required. Candidates should be professional in demeanor and possess a positive attitude, be adaptable to change, convey a pleasant and welcoming environment to all internal and external colleagues, be detail oriented, anticipate problems and solutions, and have excellent written and verbal communication skills.
